Worth knowing
Rules that affect most businesses here
Director's loan accounts
Money taken from a company has to be something: salary, dividend, expense reimbursement or loan. If it is a loan and remains outstanding nine months after the year end, the company pays tax at the dividend higher rate on it until it is repaid. Clearing the balance with a properly declared dividend before the deadline, where reserves allow, is routine year-end work.
Switching accountants
You can switch accountant at any point in the year. The new firm requests clearance and your records from the old one, which cannot withhold your own documents though it may hold its own working papers until its fees are settled. Agent authorisations with HMRC and Companies House are transferred, and the next deadline is picked up without a gap.
Closing a company
A solvent company that has finished its purpose can be dissolved by voluntary strike-off: form DS01 with a £13 Companies House fee, after three months without trading and with all debts paid, final accounts and tax return filed, and assets distributed. HMRC objects to any application where returns or tax are outstanding, so the sequence matters more than the form.
Record keeping
HMRC requires records of all income and expenses, bank statements, invoices and receipts to be kept for at least five years after the 31 January filing deadline of the tax year they relate to, and companies must keep records for six years from the end of the accounting period. Digital copies are acceptable. Under Making Tax Digital the records must be kept in compatible software.
Allowable expenses
The expenses sole traders most often miss are home working costs, claimed by actual proportion or HMRC's flat rate, the business share of phone and internet, mileage at 45p for the first 10,000 business miles, and training that maintains existing skills. The ones most often claimed wrongly are commuting, entertaining customers and clothes that could be worn outside work.
Questions
Questions from Fox Hatch
Are your fees inclusive of everything?
Our fee covers the work described for the package. Companies House fees, such as £100 to incorporate or £50 for a confirmation statement, are charged separately and passed on at cost. Software subscriptions are in your own name. There is nothing else: no hourly extras, no charge for questions, and no additional year-end invoice for Fox Hatch clients on monthly packages.
What if my Fox Hatch business is a partnership or an LLP?
Both are covered. Partnerships need a partnership return and a Self Assessment for each partner; LLPs file accounts with Companies House under company-style rules as well. We quote a fixed fee for the set based on the number of partners or members, and the process is the same as for any other client in Fox Hatch: records in, draft out, approve, filed.
Do you work with businesses in M25 Fringe that are not in Fox Hatch itself?
Yes. Every place in M25 Fringe has its own page on this site and the same fees apply throughout. The nearest-places list on this page links to them. Wherever in England your business is based, the service is identical because none of it depends on where you are.
Can you deal with HMRC and Companies House for me?
Yes. Once you authorise us as your agent, HMRC and Companies House correspond with us about the filings we make for your Fox Hatch business, and we can see your accounts and respond on your behalf. Authorisation is free and takes a few days to activate. Routine correspondence about work we have filed is handled at no extra charge.
Which deadlines matter most for self assessment tax returns?
The next four dates that apply to self assessment tax returns are shown at the top of this page, calculated from today. For Fox Hatch clients we diarise every one of them from the day you join and send reminders before each, so the work is done in good time rather than in the last week before a penalty.
How do I get started from Fox Hatch?
Message us on WhatsApp or email with a sentence about your business and what you need. We reply in working hours with any questions and a fixed fee for self assessment tax returns. Once you confirm, we tell you exactly which records to send and the work begins. Most Fox Hatch clients are set up within a day.
