Accounting software setup & support
Cloud accounting software has become the default way small businesses keep their records, and for VAT-registered businesses and a growing share of sole traders and landlords it is now a legal requirement under Making Tax Digital. The software itself is capable and inexpensive. The problems come from setup: a default chart of accounts that does not fit the business, VAT codes applied inconsistently, bank feeds connected for some accounts but not others, opening balances never entered so the balance sheet has been wrong since day one, and integrations with shops and payment processors posting sales and fees in ways that do not reconcile. A file set up badly generates work every month and a large repair bill at year end.

In detail
How accounting software support works
Our setup service at £99 exists to get the first day right. We recommend a platform on fit and price rather than commission, create the file with the correct financial year and VAT scheme, build a chart of accounts for your trade rather than the generic template, configure the VAT codes including reverse charge and zero-rated categories where they apply, connect every bank and card feed, enter the opening balances from your last accounts so the history ties up, brand the invoice template and authorise the software with HMRC for MTD. For e-commerce and card-heavy businesses we connect the marketplace and processor integrations and set the fee and VAT treatment so payouts reconcile to the bank automatically.
Migration from another platform or from spreadsheets, from £199, carries the business's history across: customers and suppliers with their outstanding balances, the chart of accounts mapped to the new structure, historical transactions for the current and previous financial years, fixed assets and loans, and VAT return history where it matters. Before the old system is closed we reconcile the closing balances in the old file to the opening balances in the new one, so there is a clean audit trail across the change. Timing matters: migrating at a VAT quarter end or financial year end simplifies everything, and we plan the cutover date with you.
Cleanup, from £149, is for files that have drifted. The symptoms are familiar: the bank reconciliation has not balanced in months, the suspense account holds thousands of pounds of unexplained entries, there are duplicate customers and transactions, the VAT return in the software does not match what was filed with HMRC, and the balance sheet contains figures no one can trace. We reconcile every bank account, trace and clear suspense, remove duplicates, align the VAT returns to the filed figures and document what was changed and why. The result is a file that can be relied on for management decisions and that produces year-end accounts without archaeology.
Training completes the picture. The £89 session is ninety minutes by video, recorded so you can replay it, and covers the tasks you actually do rather than a tour of every menu: raising and chasing invoices, capturing receipts by phone, matching bank transactions using rules, running and checking the VAT return, and reading the three reports that matter. A written quick-reference follows. Businesses that go through setup and training together routinely keep their own books thereafter and use us only for the year-end accounts and tax, which is the cheapest arrangement for them and the one we are happy to recommend. Everything is delivered online, at fixed fees agreed before work starts.
Process
From first message to filed
Tell us your situation
A short message or call about what you do and what needs filing. We ask the questions that determine the right package and nothing more.
Fixed fee in writing
You receive one price for the work, confirmed by email before anything starts. It does not change if the job takes longer than we expected.
Send records, review the draft
Records come by WhatsApp or email. We prepare the draft, explain the figures in plain English and answer your questions.
We file, you get the receipts
Once you approve and the fee is settled, we submit electronically and forward the HMRC or Companies House acknowledgement the same day.
Worth knowing
Rules that come up in this work
Confirmation statements and identity verification
Every company must file a confirmation statement at least once a year, within fourteen days of its review date, with a £50 Companies House fee. Since November 2025 directors and people with significant control must also verify their identity with Companies House, and the confirmation statement is where existing officers confirm they have done so during the transition year.
CIS deductions
Under the Construction Industry Scheme, contractors deduct 20% from a registered subcontractor's labour invoices, or 30% if unregistered, and pay it to HMRC. The subcontractor reclaims the deductions against their actual tax through Self Assessment, usually producing a refund because deductions are on turnover while tax is on profit. Contractors file a monthly return by the 19th.
Salary versus dividends
Directors of their own companies usually take a salary at or just above the National Insurance thresholds, which keeps the year qualifying for State Pension and is deductible for Corporation Tax, with further income as dividends. Dividends above the £500 allowance are taxed at 10.75%, 35.75% and 39.35% by band and can only be paid from distributable profits after tax, with a minute and voucher each time.
Director's loan accounts
A director's loan account records money moving between a director and the company that is not salary or dividend. If the director owes the company money nine months and one day after the year end, the company pays section 455 tax at 35.75% of the balance, refundable only when the loan is repaid. Loans over £10,000 are also a benefit in kind unless interest is charged at HMRC's official rate.
The VAT registration threshold
VAT registration is compulsory once taxable turnover in any rolling twelve-month period exceeds £90,000, or when you expect to exceed that in the next thirty days alone. The test is rolling, not by tax year, and includes zero-rated sales. Businesses regularly cross it without noticing, and late registration means accounting for VAT on sales where it was never charged to customers.
Corporation Tax rates and marginal relief
Companies pay Corporation Tax at 19% on profits up to £50,000 and 25% on profits over £250,000. Between those figures marginal relief applies, producing an effective rate that rises gradually and a marginal rate of 26.5% on each pound in the band. The thresholds are divided by the number of associated companies, so a director with two companies has thresholds of £25,000 and £125,000 for each.
Late filing penalties
HMRC's penalties for a late Self Assessment return are automatic: £100 the day after 31 January, £10 a day from three months late up to £900, then the greater of £300 or 5% of the tax at six and twelve months. Interest and separate late-payment penalties apply to the tax itself. Companies House charges £150 to £1,500 for late accounts, doubling for a second consecutive year.
Questions
Accounting Software Support: your questions answered
Which software do you recommend?
It depends on your business. Sole traders with simple needs suit the low-cost MTD-compatible platforms; VAT-registered businesses with stock, multiple currencies or e-commerce integrations need one of the major cloud platforms. We recommend on fit and price and we do not take commission, so the advice is not steered by referral income.
What does the £99 setup include?
Creating the file with your business details and financial year, a chart of accounts tailored to your trade, VAT scheme and codes configured, bank and card feeds connected, opening balances entered from your last accounts, invoice template branded, and the software authorised with HMRC for MTD where relevant. You come away ready to use it.
Can you move my history from my old software?
Yes. Migration from £199 brings across customers, suppliers, outstanding invoices and bills, the chart of accounts and historical transactions, typically for the current and previous financial years, with balances reconciled to the old system before it is closed. More history or very large files are quoted before we start.
What is a file cleanup and when do I need one?
When the bank has not reconciled for months, the suspense account has a large balance, there are duplicate transactions or customers, VAT returns in the software do not match what was filed, or the balance sheet contains figures nobody can explain. From £149 we reconcile, correct and document the file so it can be relied on.
Who pays for the software subscription?
You do, directly to the software company, so that the data is yours and you can change accountant without losing it. Subscriptions range from a few pounds a month for basic sole trader tools to around £35 for the fuller platforms. We will tell you if a cheaper tier is sufficient.
Do you provide training?
Yes. The £89 session is 90 minutes by video call, recorded for you to replay, covering the tasks you actually do: raising invoices, capturing receipts, matching bank transactions, running the VAT return, reading the reports. A written quick-reference follows. Several staff can attend the same session.
Will the setup make my year-end cheaper?
Usually, yes. Our own limited company and sole trader accounts fees assume reconciled records, and a properly set up file produces them. Accounts prepared from a tidy software file take days; accounts rebuilt from a broken one take weeks and cost more. The setup fee is typically recovered in the first year-end.
Can you connect my online shop or payment processor?
Yes. Marketplace and e-commerce platforms, card processors and payment gateways can be integrated so that sales, fees and payouts post automatically and reconcile to the bank. Getting the fee and VAT treatment right on these integrations is where most e-commerce files go wrong, and we configure it as part of the setup.
How long does setup or migration take?
A new setup is usually complete within three working days of receiving your details and last accounts. A migration takes one to two weeks depending on the volume of history and the state of the old data. A cleanup depends on how broken the file is, and we give you a timeline with the fixed quote.
Do I need Making Tax Digital-compatible software?
If you are VAT registered, yes, already. If you are a sole trader or landlord with qualifying income over £50,000, yes, since April 2026, with lower thresholds following. Every platform we set up is MTD-compatible and we authorise it with HMRC as part of the setup.
What if I want to do my own bookkeeping after setup?
That is exactly what the setup and training are for. Many clients keep their own books in the software we set up and come to us only for the year-end accounts and tax return, which is cheaper for them. We configure bank rules and automations so the routine work is mostly matching, not typing.
Can you fix VAT returns that were filed from the software wrongly?
Yes. We reconcile each filed return to the transactions, identify the errors, and correct them in the software and, where required, with HMRC through the next return or a formal error correction. The cleanup fee covers the software work; any HMRC correction is quoted separately before we start.
