VAT registration
VAT registration is compulsory once a business's taxable turnover crosses the registration threshold, £90,000 since April 2024, and the rules on when and from what date are precise. The backward test looks at taxable turnover over any rolling twelve-month period: if it exceeds £90,000 the business must notify HMRC within thirty days of the end of the month in which the threshold was crossed and is registered from the first day of the following month after that. The forward test applies when the business expects taxable turnover in the next thirty days alone to exceed £90,000, in which case notification is due within those thirty days and registration runs from the date the expectation arose. Taxable turnover includes zero-rated sales and excludes exempt ones and capital asset disposals, and businesses regularly count the wrong things.

In detail
How vat registration works
Our registration service at £49 determines which test has been met and the correct effective date, assembles the information HMRC requires, including business details, Unique Taxpayer Reference, bank account, turnover evidence and activity, and submits the application online. The £79 package adds a scheme recommendation based on your actual figures, since the choice between the standard scheme, the flat rate scheme with its 16.5% limited-cost-trader rate, cash accounting and annual accounting can be worth thousands of pounds a year and is hard to reverse. The £119 package adds authorisation of Making Tax Digital software and the preparation and filing of the first return, so the business starts compliant rather than catching up. HMRC charges nothing to register.
Voluntary registration below the threshold is a genuine decision rather than a default. A business whose customers are mainly VAT-registered gains from registering early: the VAT it charges is reclaimed by its customers at no real cost to them, and the business reclaims VAT on its own costs. A business selling to consumers faces the opposite: registration either raises prices by 20% or absorbs the VAT from margin, and waiting until the threshold compels registration is usually better. Pre-registration VAT on goods still held that were bought within the previous four years, and on services received within the previous six months, can be reclaimed on the first return, which for a business that has invested in stock or equipment can mean a substantial first repayment.
The gap between applying and receiving the VAT number, typically two to four weeks and longer where HMRC selects an application for checks, needs managing. The business is liable for VAT from its effective date but cannot issue VAT invoices until the number arrives, so prices are increased by the VAT amount with a note that a VAT invoice will follow, and proper invoices are issued once registration is confirmed. Businesses that discover they crossed the threshold months earlier must register with the correct backdated effective date, account for VAT on sales since then which they may not be able to recover from customers, and may face a failure-to-notify penalty that is reduced substantially for unprompted disclosure. We quantify the exposure and handle the late registration and disclosure together.
Once registered, the business must keep digital records and file returns through Making Tax Digital-compatible software, usually quarterly, with each return and payment due one month and seven days after the period end. Our VAT returns service at £35 a month takes over from the first return. Overseas businesses with no UK establishment must register from their first UK taxable sale with no threshold, subject to the marketplace rules for some sellers, and our non-resident formation and registration services work together for them. Groups of companies under common control can register as a VAT group with a single return, quoted as a fixed fee after review. Everything is online and nothing is submitted to HMRC until you have approved it.

Worth knowing
Rules that come up in this work
Employer National Insurance
Employers pay National Insurance at 15% on each employee's earnings above the £5,000 secondary threshold, following the April 2025 changes. The Employment Allowance offsets up to £10,500 of this for eligible employers, which for a small team often removes the liability entirely, but companies where the director is the only employee do not qualify.
Workplace pensions and auto-enrolment
Every employer must assess its workers for automatic enrolment from the first employee's start date. Those aged 22 to State Pension age earning over £10,000 a year must be enrolled into a qualifying pension with minimum contributions of 8% of qualifying earnings, at least 3% from the employer, and a declaration of compliance made to the Pensions Regulator within five months.
Dormant companies
Companies formed to protect a name or hold a future business are dormant but not exempt: Companies House still expects dormant accounts within nine months of the year end and a confirmation statement annually with its £50 fee, and HMRC must be told the company is dormant or it will demand Corporation Tax returns. The filings are short, but the penalties for missing them are the same as for a trading company.
The trading and property allowances
Small side incomes are covered by two £1,000 allowances, one for trading and one for property, which remove the need to register or report income below that level. Once income exceeds £1,000, the allowance can be used in place of expenses, a choice worth making deliberately: a freelancer with £900 of costs is better off with the allowance, one with £3,000 is not.
Crypto records and reporting
Crypto tax splits into capital gains on disposals and income on rewards, with different rates and different reporting. The £3,000 annual exempt amount and the 18% and 24% rates apply to gains; staking, mining and airdrop income is taxed at marginal income tax rates. HMRC's nudge letters to holders have increased sharply, and a voluntary disclosure before one arrives is treated far more leniently.
The 60-day property CGT return
Since April 2020 a gain on UK residential property must be reported and the tax paid within 60 days of completion through HMRC's dedicated service, separately from the annual return. Non-residents must report all UK land disposals in the same window whether or not tax is due. Getting the computation right first time matters because the figure is then carried into the Self Assessment.
Record keeping
HMRC requires records of all income and expenses, bank statements, invoices and receipts to be kept for at least five years after the 31 January filing deadline of the tax year they relate to, and companies must keep records for six years from the end of the accounting period. Digital copies are acceptable. Under Making Tax Digital the records must be kept in compatible software.
Questions
VAT Registration: your questions answered
When do I have to register?
When your VAT-taxable turnover in any rolling 12 months exceeds £90,000, in which case you register within 30 days of the end of the month you crossed it and are registered from the first day of the second month after; or when you expect to exceed £90,000 in the next 30 days alone, in which case you register within those 30 days and are registered from the date you formed the expectation.
What does the service cost?
Registration alone is £49. With a scheme recommendation based on your figures it is £79. With MTD software authorised and the first VAT return prepared and filed it is £119. HMRC charges nothing to register. Our fee is fixed and agreed before we start.
What counts as taxable turnover?
Sales of goods and services that are standard, reduced or zero rated, including zero-rated ones. Exempt supplies such as insurance, most financial services, education by eligible bodies and residential letting are excluded. Sales of capital assets are excluded. We check your sales mix because many businesses count the wrong things.
Should I register voluntarily?
If your customers are mainly VAT-registered businesses, yes, usually: they reclaim the VAT you charge, and you reclaim VAT on your costs. If your customers are consumers, registration either raises your prices by 20% or cuts your margin, and waiting until you must register is usually better. We run the numbers.
What information does HMRC need?
Business details and structure, Unique Taxpayer Reference, bank account, turnover figures and the date you crossed or expect to cross the threshold, business activity, and for companies the incorporation details and directors. Most applications are approved within two to four weeks; some are selected for checks and take longer.
How do I invoice while waiting for my VAT number?
You cannot show VAT on an invoice until you have the number, but you are liable for VAT from your effective date. The usual approach is to increase prices by the VAT amount with a note that a VAT invoice will follow, then issue proper VAT invoices once the number arrives. We give you the wording.
Can I reclaim VAT on things bought before registration?
Yes. VAT on goods still held at registration bought within the previous four years, and on services received within the previous six months, can be reclaimed on the first return if they relate to your taxable business. For many businesses this is a substantial first-return repayment and we identify it.
Which VAT scheme should I choose?
The standard scheme suits most businesses with meaningful VAT-bearing costs. The flat rate scheme can help low-cost service businesses but the 16.5% limited-cost-trader rate removes the advantage for many. Cash accounting helps with slow payers. Annual accounting means one return. The £79 package includes the recommendation with figures.
What if I crossed the threshold months ago and did not register?
Register now with the correct backdated effective date. HMRC will expect VAT on sales from that date, which you may not be able to recover from customers, and may charge a failure-to-notify penalty, reduced substantially for unprompted disclosure. We calculate the exposure and handle the late registration and the disclosure.
Does an overseas business need to register?
A business with no UK establishment making taxable supplies in the UK must register from its first sale; there is no threshold. Online marketplaces account for VAT on some overseas sellers' sales, but not all. Our non-resident company formation service and this registration service work together for overseas founders.
What happens after registration?
You receive a VAT number and certificate, your effective date and your return periods. You must keep digital records and file returns through MTD-compatible software, usually quarterly. Our £119 package sets up the software and files the first return; our VAT returns service at £35 a month runs them thereafter.
Can I register a group of companies together?
Companies under common control can apply for VAT group registration, filing one return and ignoring VAT on supplies between members. It simplifies administration and can save VAT where members make exempt supplies. It is a separate application with its own conditions, quoted as a fixed fee after we review the group.
