Worth knowing
Rules that affect most businesses here
The Self Assessment calendar
Self Assessment runs on a fixed annual cycle. Registration by 5 October following the tax year, online filing and payment by 31 January, and a second instalment on 31 July for those making payments on account. The penalties for lateness are automatic and escalate monthly, which is why we file early and chase approvals well before the window closes.
Record keeping
HMRC requires records of all income and expenses, bank statements, invoices and receipts to be kept for at least five years after the 31 January filing deadline of the tax year they relate to, and companies must keep records for six years from the end of the accounting period. Digital copies are acceptable. Under Making Tax Digital the records must be kept in compatible software.
Payments on account
A common surprise in Self Assessment is the January payment that is far larger than expected. That is the balancing payment for the year just ended plus the first payment on account for the year ahead, which HMRC sets at half of the bill just calculated. We put the figure in your hands months ahead and tell you how to adjust it legitimately when circumstances change.
Allowable expenses
Expense claims are where a return is won or lost in an enquiry. The test is wholly and exclusively for the trade; where a cost is mixed, the business proportion can be claimed if it can be identified. Capital items such as equipment and vans are relieved through capital allowances rather than as expenses, except under the cash basis where they are simply deducted when paid.
Late filing penalties
HMRC's penalties for a late Self Assessment return are automatic: £100 the day after 31 January, £10 a day from three months late up to £900, then the greater of £300 or 5% of the tax at six and twelve months. Interest and separate late-payment penalties apply to the tax itself. Companies House charges £150 to £1,500 for late accounts, doubling for a second consecutive year.
Questions
Questions from Caulcott
How quickly do you respond?
In UK working hours, usually within a few hours and always the same working day. Each Caulcott client has a named contact who knows the file. Outside working hours, WhatsApp and email messages are picked up first thing the next morning. In January and at other peak times we tell you your turnaround when you book rather than leaving you guessing.
Are your fees inclusive of everything?
Our fee covers the work described for the package. Companies House fees, such as £100 to incorporate or £50 for a confirmation statement, are charged separately and passed on at cost. Software subscriptions are in your own name. There is nothing else: no hourly extras, no charge for questions, and no additional year-end invoice for Caulcott, Cherwell clients on monthly packages.
What if my Caulcott business is a partnership or an LLP?
Both are covered. Partnerships need a partnership return and a Self Assessment for each partner; LLPs file accounts with Companies House under company-style rules as well. We quote a fixed fee for the set based on the number of partners or members, and the process is the same as for any other client in Caulcott, Cherwell: records in, draft out, approve, filed.
Do you work with businesses in South East that are not in Caulcott itself?
Yes. Every place in South East has its own page on this site and the same fees apply throughout. The nearest-places list on this page links to them. Wherever in England your business is based, the service is identical because none of it depends on where you are.
Which deadlines matter most for self assessment tax returns?
The next four dates that apply to self assessment tax returns are shown at the top of this page, calculated from today. For Caulcott clients we diarise every one of them from the day you join and send reminders before each, so the work is done in good time rather than in the last week before a penalty.
How do I get started from Caulcott, Cherwell?
Message us on WhatsApp or email with a sentence about your business and what you need. We reply in working hours with any questions and a fixed fee for self assessment tax returns. Once you confirm, we tell you exactly which records to send and the work begins. Most Caulcott clients are set up within a day.
Ready to fix your fee in Caulcott?
Tell us what you need. You get one fixed fee in writing, and nothing is filed until you approve it.
