Accounting software setup & support in Chinatown

Most accounting software problems in Chinatown businesses were created on day one: a default chart of accounts that fits nobody, bank feeds half connected, VAT codes wrong, opening balances never entered. We set it up properly, or fix the one you have, for a one-off fixed fee, and we recommend software on merit rather than commission.

Worth knowing

Rules that come up in this work

CIS deductions

CIS turns construction subcontractors into advance taxpayers: a fifth of every labour payment goes to HMRC before they see it. Registering keeps the rate at 20% rather than 30%; gross payment status, for established businesses with a clean record, removes deductions altogether. The annual return is where the overpayment comes back, and filing it early brings the refund sooner.

Confirmation statements and identity verification

Companies House has tightened its requirements under the Economic Crime and Corporate Transparency Act: every company needs a registered email address and an appropriate registered office, every statement includes a lawful-purpose declaration, and every director and PSC must verify their identity. The confirmation statement, due annually with a £50 fee, is where most of this is confirmed.

Payments on account

Payments on account catch out most people in their second year of self-employment. HMRC assumes next year's tax will match this year's and collects half in January and half in July, in advance, on top of the balancing payment. If profits are dropping you can apply to reduce them, but reducing them too far attracts interest. We calculate the right figure rather than guessing.

The Self Assessment calendar

Self Assessment runs on a fixed annual cycle. Registration by 5 October following the tax year, online filing and payment by 31 January, and a second instalment on 31 July for those making payments on account. The penalties for lateness are automatic and escalate monthly, which is why we file early and chase approvals well before the window closes.

Making Tax Digital for Income Tax

The biggest change to Self Assessment in a generation is Making Tax Digital for Income Tax, now live for higher-earning sole traders and landlords and arriving for the rest in stages. Quarterly updates are due by 7 August, 7 November, 7 February and 7 May, built from digital records. The practical consequence is that spreadsheet-and-shoebox bookkeeping is ending for anyone above the threshold.

Late filing penalties

HMRC's penalties for a late Self Assessment return are automatic: £100 the day after 31 January, £10 a day from three months late up to £900, then the greater of £300 or 5% of the tax at six and twelve months. Interest and separate late-payment penalties apply to the tax itself. Companies House charges £150 to £1,500 for late accounts, doubling for a second consecutive year.

Corporation Tax rates and marginal relief

Since April 2023 there have been two Corporation Tax rates, 19% small profits and 25% main, with marginal relief smoothing the transition between £50,000 and £250,000 of profit. The band is where planning matters: each pound of profit in it is taxed at an effective 26.5%, so pension contributions and capital expenditure timed to keep profit below £50,000 are worth more than they look.

Questions

Accounting Software Support questions from Chinatown

Do I need Making Tax Digital-compatible software?

If you are VAT registered, yes, already. If you are a sole trader or landlord with qualifying income over £50,000, yes, since April 2026, with lower thresholds following. Every platform we set up is MTD-compatible and we authorise it with HMRC as part of the setup.

How long does setup or migration take?

A new setup is usually complete within three working days of receiving your details and last accounts. A migration takes one to two weeks depending on the volume of history and the state of the old data. A cleanup depends on how broken the file is, and we give you a timeline with the fixed quote.

Can you connect my online shop or payment processor?

Yes. Marketplace and e-commerce platforms, card processors and payment gateways can be integrated so that sales, fees and payouts post automatically and reconcile to the bank. Getting the fee and VAT treatment right on these integrations is where most e-commerce files go wrong, and we configure it as part of the setup.

Will the setup make my year-end cheaper?

Usually, yes. Our own limited company and sole trader accounts fees assume reconciled records, and a properly set up file produces them. Accounts prepared from a tidy software file take days; accounts rebuilt from a broken one take weeks and cost more. The setup fee is typically recovered in the first year-end.

Do you provide training?

Yes. The £89 session is 90 minutes by video call, recorded for you to replay, covering the tasks you actually do: raising invoices, capturing receipts, matching bank transactions, running the VAT return, reading the reports. A written quick-reference follows. Several staff can attend the same session.

Who pays for the software subscription?

You do, directly to the software company, so that the data is yours and you can change accountant without losing it. Subscriptions range from a few pounds a month for basic sole trader tools to around £35 for the fuller platforms. We will tell you if a cheaper tier is sufficient.
