Worth knowing
Rules that come up in this work
Payments on account
A common surprise in Self Assessment is the January payment that is far larger than expected. That is the balancing payment for the year just ended plus the first payment on account for the year ahead, which HMRC sets at half of the bill just calculated. We put the figure in your hands months ahead and tell you how to adjust it legitimately when circumstances change.
The Self Assessment calendar
The tax year runs from 6 April to 5 April. Anyone new to Self Assessment must register by 5 October after the end of the tax year in which their untaxed income began. The online return and the balancing payment are due by 31 January, with a second payment on account on 31 July where they apply. Paper returns have an earlier deadline of 31 October and are rarely sensible.
CIS deductions
CIS turns construction subcontractors into advance taxpayers: a fifth of every labour payment goes to HMRC before they see it. Registering keeps the rate at 20% rather than 30%; gross payment status, for established businesses with a clean record, removes deductions altogether. The annual return is where the overpayment comes back, and filing it early brings the refund sooner.
Confirmation statements and identity verification
The confirmation statement is the annual check that the public register is right: officers, registered office, SIC codes, shareholders and the PSC register. It carries a £50 fee and no financial penalty for lateness, but failure to file leads to compulsory strike-off. The identity verification regime introduced in November 2025 has added a further check to every statement.
Allowable expenses
The expenses sole traders most often miss are home working costs, claimed by actual proportion or HMRC's flat rate, the business share of phone and internet, mileage at 45p for the first 10,000 business miles, and training that maintains existing skills. The ones most often claimed wrongly are commuting, entertaining customers and clothes that could be worn outside work.
Record keeping
HMRC requires records of all income and expenses, bank statements, invoices and receipts to be kept for at least five years after the 31 January filing deadline of the tax year they relate to, and companies must keep records for six years from the end of the accounting period. Digital copies are acceptable. Under Making Tax Digital the records must be kept in compatible software.
The 60-day property CGT return
The 60-day Capital Gains Tax return on residential property is the deadline landlords most often miss, because it falls outside the Self Assessment cycle and runs from completion, not exchange. Private residence relief for periods you lived in the property, plus the final nine months, reduces the gain. Penalties for a late return mirror Self Assessment, starting at £100.
Questions
Accounting Software Support questions from Welsh Harp
What does the £99 setup include?
Creating the file with your business details and financial year, a chart of accounts tailored to your trade, VAT scheme and codes configured, bank and card feeds connected, opening balances entered from your last accounts, invoice template branded, and the software authorised with HMRC for MTD where relevant. You come away ready to use it.
Which software do you recommend?
It depends on your business. Sole traders with simple needs suit the low-cost MTD-compatible platforms; VAT-registered businesses with stock, multiple currencies or e-commerce integrations need one of the major cloud platforms. We recommend on fit and price and we do not take commission, so the advice is not steered by referral income.
What is a file cleanup and when do I need one?
When the bank has not reconciled for months, the suspense account has a large balance, there are duplicate transactions or customers, VAT returns in the software do not match what was filed, or the balance sheet contains figures nobody can explain. From £149 we reconcile, correct and document the file so it can be relied on.
Can you move my history from my old software?
Yes. Migration from £199 brings across customers, suppliers, outstanding invoices and bills, the chart of accounts and historical transactions, typically for the current and previous financial years, with balances reconciled to the old system before it is closed. More history or very large files are quoted before we start.
Do you provide training?
Yes. The £89 session is 90 minutes by video call, recorded for you to replay, covering the tasks you actually do: raising invoices, capturing receipts, matching bank transactions, running the VAT return, reading the reports. A written quick-reference follows. Several staff can attend the same session.
Who pays for the software subscription?
You do, directly to the software company, so that the data is yours and you can change accountant without losing it. Subscriptions range from a few pounds a month for basic sole trader tools to around £35 for the fuller platforms. We will tell you if a cheaper tier is sufficient.
Which deadlines matter most for accounting software support?
The next four dates that apply to accounting software support are shown at the top of this page, calculated from today. For Welsh Harp clients we diarise every one of them from the day you join and send reminders before each, so the work is done in good time rather than in the last week before a penalty.
Is accounting software support in Welsh Harp really the same price as elsewhere?
Yes. The fee published on this page is what a client in Welsh Harp pays and what a client in any other part of England pays. It is confirmed in writing before work starts and the invoice matches the quote. Where a higher package applies because your situation is more complex, we say so at the quote stage, never afterwards.
