Why IGI

What you get in Tone

One fixed fee for bookkeeping in Tone, agreed in writing before any work starts and never changed part-way through the job, however long it takes us.

We work to the HMRC and Companies House calendar, not an appointment diary. Clients in Tone get reminders at 60, 30 and 7 days before each date that applies to bookkeeping.

We serve Tone remotely by design: records by WhatsApp or email, drafts back for approval, filing electronic. The saving on premises is passed to you in the fee for bookkeeping.

Continuity matters in bookkeeping: the person who prepared last year's work for your Tone business prepares this year's, and remembers what was agreed.

The output for Tone clients is never just a form. It is the form, a one-page summary of what it says, and a note of the decisions it points to for bookkeeping.

Nothing is filed for Tone until you have reviewed and approved it. You see the draft, you ask questions, you sign off, then we submit and send you the receipt.

Worth knowing

Rules that come up in this work

The trading and property allowances

Not every small income needs a tax return. The trading allowance exempts the first £1,000 of self-employment or casual income and the property allowance does the same for rental income, each measured on gross receipts. They cannot be combined with rent-a-room relief on the same income, and claiming the allowance means giving up the expense deduction for that source.

Dormant companies

Dormancy is a status that is easy to lose. The strict rule is no accounting transactions other than share capital and Companies House fees, which means no bank account activity at all in practice. Fees should be paid personally by the director. A company that traded and has stopped becomes dormant only after its final trading accounts and tax return are filed and HMRC is told.

Closing a company

Voluntary strike-off is available only to solvent companies. One that owes money it cannot pay needs a creditors' voluntary liquidation through a licensed insolvency practitioner, and directors who dissolve an insolvent company face personal consequences. For a solvent company the process takes three to four months from filing the DS01, with notice to creditors and shareholders within seven days.

Switching accountants

You can switch accountant at any point in the year. The new firm requests clearance and your records from the old one, which cannot withhold your own documents though it may hold its own working papers until its fees are settled. Agent authorisations with HMRC and Companies House are transferred, and the next deadline is picked up without a gap.

Payments on account

If your Self Assessment bill exceeds £1,000 and less than 80% of your tax was collected at source, HMRC asks for two advance payments towards the following year, each half of the current bill, due 31 January and 31 July. The first year this happens the January payment is effectively one and a half times the bill. We model it in advance and show you how to reduce the payments if income is falling.

The Self Assessment calendar

The tax year runs from 6 April to 5 April. Anyone new to Self Assessment must register by 5 October after the end of the tax year in which their untaxed income began. The online return and the balancing payment are due by 31 January, with a second payment on account on 31 July where they apply. Paper returns have an earlier deadline of 31 October and are rarely sensible.

Making Tax Digital for Income Tax

The biggest change to Self Assessment in a generation is Making Tax Digital for Income Tax, now live for higher-earning sole traders and landlords and arriving for the rest in stages. Quarterly updates are due by 7 August, 7 November, 7 February and 7 May, built from digital records. The practical consequence is that spreadsheet-and-shoebox bookkeeping is ending for anyone above the threshold.

Questions

Bookkeeping questions from Tone

What if my volume changes?

We review the transaction count each quarter. If you move into a higher or lower band we tell you before the next invoice and adjust from the following month. There is no penalty for moving down and no back-charging for a busy month.

Do you do bookkeeping for landlords?

Yes. Rental income, agent statements, mortgage interest, repairs and the split between revenue and capital costs are all coded correctly for the property pages of your return. Portfolio landlords usually sit in the £49 or £89 band, and MTD for Income Tax applies to rental income as it does to trading income.

How do you handle cash sales and personal spending from the business account?

Cash takings are recorded from your till or daily summary, and personal spending is coded to drawings or the director's loan account so it does not end up as a business expense. We flag patterns that could cause problems, such as a growing director's loan balance.

Will I need this for Making Tax Digital for Income Tax?

If you are a sole trader or landlord with qualifying income over £50,000 you joined MTD for Income Tax in April 2026, and the £30,000 threshold follows in April 2027. It requires digital records and quarterly updates to HMRC. Our bookkeeping service keeps the records in the required form and submits the updates.

What is the VAT bundle?

Bookkeeping plus quarterly VAT returns for £119 a month, covering up to 150 transactions. Because we already have the coded transactions, the return is prepared and submitted through MTD-compatible software without extra data entry, and you approve it before anything goes to HMRC.

Can you catch up a backlog?

Yes. Backlogs are quoted as a fixed fee based on the number of months and transactions, agreed before we start. Once caught up, the normal monthly band applies. We tell you honestly if the backlog is small enough to do yourself.

How do I get started from Tone?

Message us on WhatsApp or email with a sentence about your business and what you need. We reply in working hours with any questions and a fixed fee for bookkeeping. Once you confirm, we tell you exactly which records to send and the work begins. Most Tone clients are set up within a day.

Which deadlines matter most for bookkeeping?

The next four dates that apply to bookkeeping are shown at the top of this page, calculated from today. For Tone clients we diarise every one of them from the day you join and send reminders before each, so the work is done in good time rather than in the last week before a penalty.
