How it works

Accounting Software Support from Cramlington, step by step

  1. Tell us your situation

A short message or call about what you do and what needs filing. We ask the questions that determine the right package and nothing more.

  2. Fixed fee in writing

You receive one price for the work, confirmed by email before anything starts. It does not change if the job takes longer than we expected.

  3. Send records, review the draft

Records come by WhatsApp or email. We prepare the draft, explain the figures in plain English and answer your questions.

  4. We file, you get the receipts

Once you approve and the fee is settled, we submit electronically and forward the HMRC or Companies House acknowledgement the same day.

Why IGI

The IGI way of working, in Cramlington

No hourly rate and no surprise invoice. Cramlington clients know the fee for accounting software support before they send a single document, and it stays fixed.

We work to the HMRC and Companies House calendar, not an appointment diary. Clients in Cramlington get reminders at 60, 30 and 7 days before each date that applies to accounting software support.

Online only, UK based. There is no office in Cramlington to pay for, which is why the fee is the same here as anywhere in England; the work is done by people in the UK who answer the same day.

Continuity matters in accounting software support: the person who prepared last year's work for your Cramlington business prepares this year's, and remembers what was agreed.

Plain English, with the numbers. Every draft for Cramlington comes with a short explanation of what the figures mean and what, if anything, you should do about them.

You stay in control of accounting software support: drafts go to Cramlington clients first, with the figures explained, and nothing leaves us until you say so.

Worth knowing

Rules that come up in this work

Dormant companies

Companies formed to protect a name or hold a future business are dormant but not exempt: Companies House still expects dormant accounts within nine months of the year end and a confirmation statement annually with its £50 fee, and HMRC must be told the company is dormant or it will demand Corporation Tax returns. The filings are short, but the penalties for missing them are the same as for a trading company.

The trading and property allowances

Not every small income needs a tax return. The trading allowance exempts the first £1,000 of self-employment or casual income and the property allowance does the same for rental income, each measured on gross receipts. They cannot be combined with rent-a-room relief on the same income, and claiming the allowance means giving up the expense deduction for that source.

Employer National Insurance

The cost of an employee is more than the salary. Employer National Insurance at 15% above £5,000 a year, the 3% minimum pension contribution, holiday pay, equipment and management time all come on top. The Employment Allowance of £10,500 reduces the National Insurance for most employers with more than one person on the payroll.

Workplace pensions and auto-enrolment

Every employer must assess its workers for automatic enrolment from the first employee's start date. Those aged 22 to State Pension age earning over £10,000 a year must be enrolled into a qualifying pension with minimum contributions of 8% of qualifying earnings, at least 3% from the employer, and a declaration of compliance made to the Pensions Regulator within five months.

Record keeping

HMRC requires records of all income and expenses, bank statements, invoices and receipts to be kept for at least five years after the 31 January filing deadline of the tax year they relate to, and companies must keep records for six years from the end of the accounting period. Digital copies are acceptable. Under Making Tax Digital the records must be kept in compatible software.

Allowable expenses

The expenses sole traders most often miss are home working costs, claimed by actual proportion or HMRC's flat rate, the business share of phone and internet, mileage at 45p for the first 10,000 business miles, and training that maintains existing skills. The ones most often claimed wrongly are commuting, entertaining customers and clothes that could be worn outside work.

Crypto records and reporting

Most crypto holders have taxable events they do not recognise, because every swap is a disposal even when no pounds change hands. The computation requires the complete transaction history from every exchange and wallet, pooled by asset with HMRC's matching rules applied. Exchange-generated tax reports are frequently wrong because they cannot see transfers between a user's own wallets.

Questions

Accounting Software Support questions from Cramlington

Can you fix VAT returns that were filed from the software wrongly?

Yes. We reconcile each filed return to the transactions, identify the errors, and correct them in the software and, where required, with HMRC through the next return or a formal error correction. The cleanup fee covers the software work; any HMRC correction is quoted separately before we start.

What if I want to do my own bookkeeping after setup?

That is exactly what the setup and training are for. Many clients keep their own books in the software we set up and come to us only for the year-end accounts and tax return, which is cheaper for them. We configure bank rules and automations so the routine work is mostly matching, not typing.

How long does setup or migration take?

A new setup is usually complete within three working days of receiving your details and last accounts. A migration takes one to two weeks depending on the volume of history and the state of the old data. A cleanup depends on how broken the file is, and we give you a timeline with the fixed quote.

Do I need Making Tax Digital-compatible software?

If you are VAT registered, yes, already. If you are a sole trader or landlord with qualifying income over £50,000, yes, since April 2026, with lower thresholds following. Every platform we set up is MTD-compatible and we authorise it with HMRC as part of the setup.

Who pays for the software subscription?

You do, directly to the software company, so that the data is yours and you can change accountant without losing it. Subscriptions range from a few pounds a month for basic sole trader tools to around £35 for the fuller platforms. We will tell you if a cheaper tier is sufficient.

Do you provide training?

Yes. The £89 session is 90 minutes by video call, recorded for you to replay, covering the tasks you actually do: raising invoices, capturing receipts, matching bank transactions, running the VAT return, reading the reports. A written quick-reference follows. Several staff can attend the same session.

Which deadlines matter most for accounting software support?

The next four dates that apply to accounting software support are shown at the top of this page, calculated from today. For Cramlington clients we diarise every one of them from the day you join and send reminders before each, so the work is done in good time rather than in the last week before a penalty.
