Why IGI

What you get in Whiterashes

No hourly rate and no surprise invoice. Whiterashes clients know the fee for payroll before they send a single document, and it stays fixed.

Deadline-first: the dates that matter for payroll are shown at the top of this page, diarised for every Whiterashes client and chased before they arrive.

You get one contact for payroll, not a queue. Whiterashes clients message the same person throughout and get an answer in working hours, usually within a few hours.

Plain English, with the numbers. Every draft for Whiterashes comes with a short explanation of what the figures mean and what, if anything, you should do about them.

Approval before filing is a rule, not a courtesy. For payroll in Whiterashes, every submission to HMRC or Companies House follows your written go-ahead.

About Whiterashes

Whiterashes is in Scotland, Scotland. Tax in Scotland differs from the rest of the UK on earned income: six bands with a 21% intermediate rate and a 48% top rate, identified by an S prefix on the tax code. The interaction between Scottish rates on salary and UK rates on dividends makes the salary-and-dividend split for Scottish directors a distinct calculation, and Land and Buildings Transaction Tax replaces Stamp Duty.

Worth knowing

Rules that come up in this work

Corporation Tax rates and marginal relief

Corporation Tax is not a flat rate. Profits to £50,000 pay 19%, profits above £250,000 pay 25%, and the band between is taxed at an effective marginal rate of 26.5% through the marginal relief mechanism. Associated companies share the thresholds, which catches directors who own more than one company and is the most common cause of underpaid tax in owner-managed groups.

The VAT registration threshold

Watching the rolling twelve-month turnover figure is one of the quiet jobs of monthly bookkeeping, because the £90,000 VAT threshold arrives silently. Crossing it brings quarterly returns, Making Tax Digital software and a decision about schemes. Crossing it late brings a bill for VAT you could not recover from customers and a penalty for failing to notify.

Director's loan accounts

The most common tax problem in owner-managed companies is an overdrawn director's loan account: drawings taken during the year that were never declared as dividends or salary. The company faces a 35.75% charge on the balance outstanding nine months after the year end, and the director may have a benefit in kind. We review the account before every year end to clear it properly.

Salary versus dividends

The salary-and-dividend split is the central planning decision for an owner-managed company. Salary costs employer National Insurance above £5,000 but is deductible; dividends are not deductible but attract lower personal rates and no National Insurance. The optimum changes each April with the thresholds and depends on the director's other income, so it should be set deliberately every year.

Payments on account

A common surprise in Self Assessment is the January payment that is far larger than expected. That is the balancing payment for the year just ended plus the first payment on account for the year ahead, which HMRC sets at half of the bill just calculated. We put the figure in your hands months ahead and tell you how to adjust it legitimately when circumstances change.

The Self Assessment calendar

Self Assessment runs on a fixed annual cycle. Registration by 5 October following the tax year, online filing and payment by 31 January, and a second instalment on 31 July for those making payments on account. The penalties for lateness are automatic and escalate monthly, which is why we file early and chase approvals well before the window closes.

Making Tax Digital for Income Tax

Making Tax Digital for Income Tax began in April 2026 for sole traders and landlords with qualifying income over £50,000, extends to those over £30,000 in April 2027 and is planned for £20,000 in April 2028. It requires digital records in compatible software and four quarterly updates to HMRC each year, with a final declaration replacing the traditional return. Payment dates are unchanged.

Questions

Payroll questions from Whiterashes

I am taking on my first employee. What do I need?

A PAYE employer registration with HMRC (our £49 service, or £99 with the first payroll run set up), a workplace pension scheme, employer's liability insurance, a written statement of employment terms and right-to-work checks. We handle the first two and tell you plainly what to do about the rest.

Can you take over mid-year from another provider or software?

Yes. We need the year-to-date figures for each employee, the last submissions to HMRC and the pension scheme details. The transfer is included in the fee and the first pay run under us reconciles to the previous provider's figures so HMRC sees no gap.

Do you provide payslips and P60s?

Yes. Electronic payslips go to each employee every pay period through a secure portal or by email as you prefer. P60s for everyone employed at 5 April are issued by 31 May. If you provide benefits such as a company car or private medical cover, P11Ds are prepared and filed by 6 July.

What is the Employment Allowance?

Eligible employers can reduce their employer National Insurance bill by up to £10,500 a year (2026/27). Single-director companies with no other employees do not qualify. We claim it on your behalf where you are eligible, which for a small team often wipes out the employer NI entirely.

When is PAYE paid to HMRC?

By the 22nd of the following month if paying electronically, or the 19th by post. Employers whose average monthly liability is under £1,500 can pay quarterly. We send a payment note each month with the amount, HMRC's account details and your reference ending in the correct period number.

What is RTI and when do submissions have to go in?

Real Time Information is HMRC's system for reporting pay and deductions as they happen. A Full Payment Submission must reach HMRC on or before each pay day. Late or missing submissions earn monthly penalties from £100 for small employers. We file on the pay date every time you confirm the figures.

How do I get started from Whiterashes?

Message us on WhatsApp or email with a sentence about your business and what you need. We reply in working hours with any questions and a fixed fee for payroll. Once you confirm, we tell you exactly which records to send and the work begins. Most Whiterashes clients are set up within a day.

Which deadlines matter most for payroll?

The next four dates that apply to payroll are shown at the top of this page, calculated from today. For Whiterashes clients we diarise every one of them from the day you join and send reminders before each, so the work is done in good time rather than in the last week before a penalty.
