How it works

Management Accounts from Vincent Square, step by step

  1. Tell us your situation

A short message or call about what you do and what needs filing. We ask the questions that determine the right package and nothing more.

  2. Fixed fee in writing

You receive one price for the work, confirmed by email before anything starts. It does not change if the job takes longer than we expected.

  3. Send records, review the draft

Records come by WhatsApp or email. We prepare the draft, explain the figures in plain English and answer your questions.

  4. We file, you get the receipts

Once you approve and the fee is settled, we submit electronically and forward the HMRC or Companies House acknowledgement the same day.

Why IGI

Why Vincent Square businesses file with IGI

No hourly rate and no surprise invoice. Vincent Square clients know the fee for management accounts before they send a single document, and it stays fixed.

We work to the HMRC and Companies House calendar, not an appointment diary. Clients in Vincent Square get reminders at 60, 30 and 7 days before each date that applies to management accounts.

Online only, UK based. There is no office in Vincent Square to pay for, which is why the fee is the same here as anywhere in England; the work is done by people in the UK who answer the same day.

Continuity matters in management accounts: the person who prepared last year's work for your Vincent Square business prepares this year's, and remembers what was agreed.

Plain English, with the numbers. Every draft for Vincent Square comes with a short explanation of what the figures mean and what, if anything, you should do about them.

You stay in control of management accounts: drafts go to Vincent Square clients first, with the figures explained, and nothing leaves us until you say so.

Worth knowing

Rules that come up in this work

Switching accountants

You can switch accountant at any point in the year. The new firm requests clearance and your records from the old one, which cannot withhold your own documents though it may hold its own working papers until its fees are settled. Agent authorisations with HMRC and Companies House are transferred, and the next deadline is picked up without a gap.

Closing a company

Striking off a company is cheap but must be done in order: stop trading, file the final accounts and CT600, pay the tax, close VAT and PAYE, distribute the remaining assets, close the bank account, then apply. Anything left in the company at dissolution passes to the Crown. Distributions up to £25,000 are taxed as capital gains; above that a formal liquidation is usually needed to keep capital treatment.

Dormant companies

A dormant company is one with no significant accounting transactions in the year, where the only permitted entries are the payment for shares on incorporation, Companies House fees and penalties. It still files a confirmation statement and simplified dormant accounts every year. A bank charge or an accountant's fee paid from the company ends dormancy and requires full accounts.

The trading and property allowances

Small side incomes are covered by two £1,000 allowances, one for trading and one for property, which remove the need to register or report income below that level. Once income exceeds £1,000, the allowance can be used in place of expenses, a choice worth making deliberately: a freelancer with £900 of costs is better off with the allowance, one with £3,000 is not.

Employer National Insurance

Employers pay National Insurance at 15% on each employee's earnings above the £5,000 secondary threshold, following the April 2025 changes. The Employment Allowance offsets up to £10,500 of this for eligible employers, which for a small team often removes the liability entirely, but companies where the director is the only employee do not qualify.

Workplace pensions and auto-enrolment

Every employer must assess its workers for automatic enrolment from the first employee's start date. Those aged 22 to State Pension age earning over £10,000 a year must be enrolled into a qualifying pension with minimum contributions of 8% of qualifying earnings, at least 3% from the employer, and a declaration of compliance made to the Pensions Regulator within five months.

Record keeping

Good records are the difference between a quick enquiry and a long one. For the self-employed, five years after the filing deadline; for companies, six years from the year end; for VAT, six years. Photographs of receipts, PDF statements and software exports all count. The requirement is to keep records, not paper, and a well-organised cloud folder satisfies it.

Questions

Management Accounts questions from Vincent Square

Can you provide management accounts for a group or multiple branches?

Yes. Branch or entity-level packs with a consolidated view are quoted as a fixed fee based on the number of units. Many franchisees and multi-site businesses use us for exactly this, with each site's performance visible alongside the total.

How does quarterly differ from monthly?

Same content, less often. Quarterly at £99 a quarter suits stable businesses that want a regular check rather than close monitoring. Monthly suits businesses that are growing, borrowing, employing or facing margin pressure, where a quarter is too long to wait to see a problem.

When does the pack arrive?

On a fixed working day agreed with you, typically the 10th to 15th of the following month for monthly packs, provided the bookkeeping is complete by the 5th. Quarterly packs follow the quarter end on the same basis. If your records arrive late the date moves and we tell you.

Which KPIs do you report?

Those that drive your business, agreed at the start: gross margin by product or service line, revenue per employee, debtor days, stock turn, cash runway, utilisation for a service firm, average order value for a retailer. We recommend a short list and refine it over the first quarter. A dashboard with twenty numbers is one nobody reads.

Can you compare against a budget?

Yes, if you have one. If you do not, we compare against the same period last year and, if you want one, help you build a simple budget as part of the first quarter. Variance against budget is the most useful single comparison in the pack once a budget exists.

What is the review call?

A 30 to 45 minute video call each period in the £199 package to go through the pack, discuss what it shows and what decisions it points to. It is the part clients value most, because numbers on a page do not ask questions and we do.

Which deadlines matter most for management accounts?

The next four dates that apply to management accounts are shown at the top of this page, calculated from today. For Vincent Square clients we diarise every one of them from the day you join and send reminders before each, so the work is done in good time rather than in the last week before a penalty.

How do I get started from Vincent Square?

Message us on WhatsApp or email with a sentence about your business and what you need. We reply in working hours with any questions and a fixed fee for management accounts.
