How it works

VAT Returns from Vidlin, step by step

  1. Tell us your situation

A short message or call about what you do and what needs filing. We ask the questions that determine the right package and nothing more.

  2. Fixed fee in writing

You receive one price for the work, confirmed by email before anything starts. It does not change if the job takes longer than we expected.

  3. Send records, review the draft

Records come by WhatsApp or email. We prepare the draft, explain the figures in plain English and answer your questions.

  4. We file, you get the receipts

Once you approve and the fee is settled, we submit electronically and forward the HMRC or Companies House acknowledgement the same day.

Why IGI

The IGI way of working, in Vidlin

No hourly rate and no surprise invoice. Vidlin clients know the fee for vat returns before they send a single document, and it stays fixed.

We work to the HMRC and Companies House calendar, not an appointment diary. Clients in Vidlin get reminders at 60, 30 and 7 days before each date that applies to vat returns.

Online only, UK based. There is no office in Vidlin to pay for, which is why the fee is the same here as anywhere in Scotland; the work is done by people in the UK who answer the same day.

Continuity matters in vat returns: the person who prepared last year's work for your Vidlin business prepares this year's, and remembers what was agreed.

We explain vat returns in the words Vidlin business owners use, not in accountant's shorthand, and we show our working so you can check it.

Nothing is filed for Vidlin until you have reviewed and approved it. You see the draft, you ask questions, you sign off, then we submit and send you the receipt.

Worth knowing

Rules that come up in this work

Confirmation statements and identity verification

Every company must file a confirmation statement at least once a year, within fourteen days of its review date, with a £50 Companies House fee. Since November 2025 directors and people with significant control must also verify their identity with Companies House, and the confirmation statement is where existing officers confirm they have done so during the transition year.

CIS deductions

CIS turns construction subcontractors into advance taxpayers: a fifth of every labour payment goes to HMRC before they see it. Registering keeps the rate at 20% rather than 30%; gross payment status, for established businesses with a clean record, removes deductions altogether. The annual return is where the overpayment comes back, and filing it early brings the refund sooner.

The Self Assessment calendar

Self Assessment runs on a fixed annual cycle. Registration by 5 October following the tax year, online filing and payment by 31 January, and a second instalment on 31 July for those making payments on account. The penalties for lateness are automatic and escalate monthly, which is why we file early and chase approvals well before the window closes.

Payments on account

Payments on account catch out most people in their second year of self-employment. HMRC assumes next year's tax will match this year's and collects half in January and half in July, in advance, on top of the balancing payment. If profits are dropping you can apply to reduce them, but reducing them too far attracts interest. We calculate the right figure rather than guessing.

Late filing penalties

Lateness is expensive in a way that compounds. For individuals, £100 immediately, then daily penalties, then percentage-based ones at six and twelve months, with interest running on unpaid tax throughout. For companies, Companies House penalties scale with delay and double on repeat, and HMRC adds its own for a late CT600. Filing on time is the cheapest tax planning there is.

Making Tax Digital for Income Tax

The biggest change to Self Assessment in a generation is Making Tax Digital for Income Tax, now live for higher-earning sole traders and landlords and arriving for the rest in stages. Quarterly updates are due by 7 August, 7 November, 7 February and 7 May, built from digital records. The practical consequence is that spreadsheet-and-shoebox bookkeeping is ending for anyone above the threshold.

The VAT registration threshold

VAT registration is compulsory once taxable turnover in any rolling twelve-month period exceeds £90,000, or when you expect to exceed that in the next thirty days alone. The test is rolling, not by tax year, and includes zero-rated sales. Businesses regularly cross it without noticing, and late registration means accounting for VAT on sales where it was never charged to customers.

Questions

VAT Returns questions from Vidlin

Can you handle a VAT registration from scratch?

Yes. Registration with HMRC is £49, or £79 with scheme advice, and £119 including your first return. We need your business details, turnover figures and bank account. HMRC usually issues the VAT number within two to four weeks, and we tell you how to invoice in the meantime.

Do I need Making Tax Digital software for VAT?

Yes. All VAT-registered businesses must keep digital records and submit returns through MTD-compatible software; HMRC's old online form is closed. If you have no software, our bookkeeping service provides it, or the MTD VAT setup package at £129 gets you compliant with your first return filed.

What does the £35 a month fee cover?

Quarterly VAT returns prepared from your own bookkeeping records, reviewed by us for coding errors, submitted through MTD-compatible software and confirmed back to you with HMRC's receipt and the payment details. If we also do your bookkeeping, the combined bundle is £119 a month.

When do I have to register for VAT?

When your taxable turnover in any rolling 12 months exceeds £90,000, or you expect it to exceed £90,000 in the next 30 days alone. You must register within 30 days of the end of the month you crossed the threshold. Voluntary registration below the threshold is possible and sometimes beneficial; we advise either way.

Which VAT scheme should I use?

The standard scheme suits most businesses with significant costs. The flat rate scheme can benefit low-cost service businesses, though the limited-cost trader rate of 16.5% removes most of the advantage. Cash accounting helps with slow-paying customers. We review your figures and recommend one; the £79 registration-plus-advice package includes this.

When are returns and payments due?

One month and seven days after the end of each VAT quarter, for both the return and the payment. A quarter ending 31 March is due by 7 May. Direct debit payments are taken three working days later. We send you the figure and reference at least a week before the date.

Which deadlines matter most for vat returns?

The next four dates that apply to vat returns are shown at the top of this page, calculated from today. For Vidlin clients we diarise every one of them from the day you join and send reminders before each, so the work is done in good time rather than in the last week before a penalty.

How do I get started from Vidlin?

Message us on WhatsApp or email with a sentence about your business and what you need. We reply in working hours with any questions and a fixed fee for vat returns. Once you confirm, we tell you exactly which records to send and the work begins. Most Vidlin clients are set up within a day.
