How it works

Sole Trader Accounts from Swordly, step by step

  1. Tell us your situation

A short message or call about what you do and what needs filing. We ask the questions that determine the right package and nothing more.

  2. Fixed fee in writing

You receive one price for the work, confirmed by email before anything starts. It does not change if the job takes longer than we expected.

  3. Send records, review the draft

Records come by WhatsApp or email. We prepare the draft, explain the figures in plain English and answer your questions.

  4. We file, you get the receipts

Once you approve and the fee is settled, we submit electronically and forward the HMRC or Companies House acknowledgement the same day.

Why IGI

Why Swordly businesses file with IGI

No hourly rate and no surprise invoice. Swordly clients know the fee for sole trader accounts before they send a single document, and it stays fixed.

We work to the HMRC and Companies House calendar, not an appointment diary. Clients in Swordly get reminders at 60, 30 and 7 days before each date that applies to sole trader accounts.

We serve Swordly remotely by design: records by WhatsApp or email, drafts back for approval, filing electronic. The saving on premises is passed to you in the fee for sole trader accounts.

A named person handles your sole trader accounts from Swordly and knows the file, so you are not re-explaining your business to a different helpdesk each time.

Plain English, with the numbers. Every draft for Swordly comes with a short explanation of what the figures mean and what, if anything, you should do about them.

You stay in control of sole trader accounts: drafts go to Swordly clients first, with the figures explained, and nothing leaves us until you say so.

Worth knowing

Rules that come up in this work

Confirmation statements and identity verification

Every company must file a confirmation statement at least once a year, within fourteen days of its review date, with a £50 Companies House fee. Since November 2025 directors and people with significant control must also verify their identity with Companies House, and the confirmation statement is where existing officers confirm they have done so during the transition year.

CIS deductions

CIS turns construction subcontractors into advance taxpayers: a fifth of every labour payment goes to HMRC before they see it. Registering keeps the rate at 20% rather than 30%; gross payment status, for established businesses with a clean record, removes deductions altogether. The annual return is where the overpayment comes back, and filing it early brings the refund sooner.

Switching accountants

You can switch accountant at any point in the year. The new firm requests clearance and your records from the old one, which cannot withhold your own documents though it may hold its own working papers until its fees are settled. Agent authorisations with HMRC and Companies House are transferred, and the next deadline is picked up without a gap.

Closing a company

A solvent company that has finished its purpose can be dissolved by voluntary strike-off: form DS01 with a £13 Companies House fee, after three months without trading and with all debts paid, final accounts and tax return filed, and assets distributed. HMRC objects to any application where returns or tax are outstanding, so the sequence matters more than the form.

Crypto records and reporting

Most crypto holders have taxable events they do not recognise, because every swap is a disposal even when no pounds change hands. The computation requires the complete transaction history from every exchange and wallet, pooled by asset with HMRC's matching rules applied. Exchange-generated tax reports are frequently wrong because they cannot see transfers between a user's own wallets.

The 60-day property CGT return

Since April 2020 a gain on UK residential property must be reported and the tax paid within 60 days of completion through HMRC's dedicated service, separately from the annual return. Non-residents must report all UK land disposals in the same window whether or not tax is due. Getting the computation right first time matters because the figure is then carried into the Self Assessment.

Record keeping

HMRC requires records of all income and expenses, bank statements, invoices and receipts to be kept for at least five years after the 31 January filing deadline of the tax year they relate to, and companies must keep records for six years from the end of the accounting period. Digital copies are acceptable. Under Making Tax Digital the records must be kept in compatible software.

Questions

Sole Trader Accounts questions from Swordly

What if HMRC checks my return?

HMRC can enquire into a return within twelve months of filing, and longer if something was omitted. Well-prepared accounts with organised records are the best protection. If an enquiry opens, routine correspondence about a return we filed is handled free, and formal enquiries go through our fixed-fee investigation service.

Can you deal with my previous accountant?

Yes. Once you authorise us we write for professional clearance and your records, including the previous year's accounts and capital allowance pools, which we need for continuity. Most firms respond within two weeks and nothing about switching changes our fee.

I started trading part-way through the year. What is my first accounting period?

Since the basis period reform, sole traders are taxed on profits of the tax year, 6 April to 5 April, regardless of accounting date. A first period runs from your start date to 5 April. If you prefer a different accounting date we apportion the profits, but for most new traders a 5 April year end is simplest.

Should I become a limited company?

It depends on profit level, how much you need to draw, liability exposure and whether you want to retain profits. At modest profits the saving is small after the extra compliance cost; at higher profits incorporation can help. Our free comparison tool gives a first view and the tax planning review gives a definitive one.

When does Making Tax Digital apply to me?

From April 2026 if your combined self-employment and property income was over £50,000 in 2024/25; from April 2027 if over £30,000; and planned for April 2028 if over £20,000. It means digital records and quarterly updates to HMRC. Our bookkeeping service handles it, and we tell you your start date as part of the accounts work.

What records do I have to keep?

Records of all sales and takings, all purchases and expenses, and bank statements, for at least five years after the 31 January filing deadline of the relevant tax year. Digital copies are acceptable. Under Making Tax Digital the records must be kept in compatible software from your start date.

Do you have an office in Swordly?

No. IGI Accounting is an online-only firm. We serve Swordly and every other UK postcode remotely, with records sent by WhatsApp or email and everything filed electronically. The absence of local premises is why the fee for sole trader accounts is the same in Swordly as anywhere else in the country, and why there is nothing to visit and nothing to print.

Is sole trader accounts in Swordly really the same price as elsewhere?

Yes. The fee published on this page is what a client in Swordly pays and what a client in any other part of Scotland pays. It is confirmed in writing before work starts and the invoice matches the quote. Where a higher package applies because your situation is more complex, we say so at the quote stage, never afterwards.
