How it works

E-commerce Accountants from Stone, step by step

  1. Tell us your situation

A short message or call about what you do and what needs filing. We ask the questions that determine the right package and nothing more.

  2. Fixed fee in writing

You receive one price for the work, confirmed by email before anything starts. It does not change if the job takes longer than we expected.

  3. Send records, review the draft

Records come by WhatsApp or email. We prepare the draft, explain the figures in plain English and answer your questions.

  4. We file, you get the receipts

Once you approve and the fee is settled, we submit electronically and forward the HMRC or Companies House acknowledgement the same day.

Why IGI

Why Stone businesses file with IGI

No hourly rate and no surprise invoice. Stone clients know the fee for e-commerce accountants before they send a single document, and it stays fixed.

We work to the HMRC and Companies House calendar, not an appointment diary. Clients in Stone get reminders at 60, 30 and 7 days before each date that applies to e-commerce accountants.

Online only, UK based. There is no office in Stone to pay for, which is why the fee is the same here as anywhere in England; the work is done by people in the UK who answer the same day.

Continuity matters in e-commerce accountants: the person who prepared last year's work for your Stone business prepares this year's, and remembers what was agreed.

We explain e-commerce accountants in the words Stone business owners use, not in accountant's shorthand, and we show our working so you can check it.

Nothing is filed for Stone until you have reviewed and approved it. You see the draft, you ask questions, you sign off, then we submit and send you the receipt.

Worth knowing

Rules that come up in this work

Confirmation statements and identity verification

Companies House has tightened its requirements under the Economic Crime and Corporate Transparency Act: every company needs a registered email address and an appropriate registered office, every statement includes a lawful-purpose declaration, and every director and PSC must verify their identity. The confirmation statement, due annually with a £50 fee, is where most of this is confirmed.

Switching accountants

Changing accountant is simpler than most people fear. You authorise the new firm, which writes to the old one for professional clearance and your records; the outgoing accountant must hand over your own documents and usually does within two weeks. The new firm registers as your agent with HMRC and picks up the next filing. There is no need to wait for a year end.

CIS deductions

The Construction Industry Scheme affects both sides of a construction payment. Contractors must verify subcontractors, deduct the right amount, issue statements and file monthly, with penalties from £100 for each late return. Subcontractors suffer deductions on turnover and recover the excess at the year end. Limited company subcontractors offset deductions against PAYE monthly instead.

Closing a company

Voluntary strike-off is available only to solvent companies. One that owes money it cannot pay needs a creditors' voluntary liquidation through a licensed insolvency practitioner, and directors who dissolve an insolvent company face personal consequences. For a solvent company the process takes three to four months from filing the DS01, with notice to creditors and shareholders within seven days.

Record keeping

Good records are the difference between a quick enquiry and a long one. For the self-employed, five years after the filing deadline; for companies, six years from the year end; for VAT, six years. Photographs of receipts, PDF statements and software exports all count. The requirement is to keep records, not paper, and a well-organised cloud folder satisfies it.

Allowable expenses

Expense claims are where a return is won or lost in an enquiry. The test is wholly and exclusively for the trade; where a cost is mixed, the business proportion can be claimed if it can be identified. Capital items such as equipment and vans are relieved through capital allowances rather than as expenses, except under the cash basis where they are simply deducted when paid.

The Self Assessment calendar

Four dates govern Self Assessment: 5 October to register, 31 October for paper returns, 31 January to file online and pay, and 31 July for the second payment on account. Missing the January date triggers an automatic £100 penalty before any tax is even considered, so we treat it as the fixed point around which the rest of the year is planned.

Questions

E-commerce Accountants questions from Stone

What is in the £79 single-channel package?

Monthly bookkeeping reconciled to one marketplace or store's reports, software integration, and the annual accounts and tax return (Corporation Tax for a company or Self Assessment for a sole trader). It is for sellers under the £90,000 VAT threshold; once VAT registration is needed the £129 package applies.

Why does e-commerce bookkeeping cost more than ordinary bookkeeping?

Because a single payout from a marketplace bundles hundreds of sales, fees, refunds, advertising charges and reserves, and each has a different VAT treatment. Reconciling the payout to the underlying report is the job. Our fee is fixed by channels and VAT status rather than by transaction count for exactly this reason.

Who accounts for VAT on marketplace sales?

For goods sold to UK consumers through an online marketplace, the marketplace accounts for the VAT if the seller is overseas or the goods are imported in consignments up to £135. A UK seller selling UK-held goods to UK customers accounts for their own VAT. Mixed situations are common and we separate them on every return.

How are imports treated?

Import VAT is charged when goods enter the UK and can be reclaimed as input VAT if you are registered, using postponed VAT accounting so nothing is paid at the border. Customs duty depends on the goods and origin and is a cost, not reclaimable. We make sure the C79 or postponed accounting statements are matched to the return.

I sell to EU customers. What VAT applies?

Since 2021 sales of goods to EU consumers are exports from the UK, zero-rated here, with EU VAT due in the customer's country. The EU's Import One Stop Shop lets you account for consignments under €150 through one registration. Above that, local registration or the customer paying on delivery. We advise on the right route for your volumes.

When do I need the inventory package?

When you hold meaningful stock. Without inventory accounting, the cost of goods purchased is expensed when bought, which distorts profit between periods and misstates the balance sheet. The £179 package tracks stock, calculates cost of sales and values closing stock, which lenders, investors and HMRC all expect from a stock-holding business.

Which deadlines matter most for e-commerce accountants?

The next four dates that apply to e-commerce accountants are shown at the top of this page, calculated from today. For Stone clients we diarise every one of them from the day you join and send reminders before each, so the work is done in good time rather than in the last week before a penalty.
