How it works

VAT Returns from St James's, step by step

  1. Tell us your situation

A short message or call about what you do and what needs filing. We ask the questions that determine the right package and nothing more.

  2. Fixed fee in writing

You receive one price for the work, confirmed by email before anything starts. It does not change if the job takes longer than we expected.

  3. Send records, review the draft

Records come by WhatsApp or email. We prepare the draft, explain the figures in plain English and answer your questions.

  4. We file, you get the receipts

Once you approve and the fee is settled, we submit electronically and forward the HMRC or Companies House acknowledgement the same day.

Why IGI

The IGI way of working, in St James's

No hourly rate and no surprise invoice. St James's clients know the fee for vat returns before they send a single document, and it stays fixed.

We work to the HMRC and Companies House calendar, not an appointment diary. Clients in St James's get reminders at 60, 30 and 7 days before each date that applies to vat returns.

Online only, UK based. There is no office in St James's to pay for, which is why the fee is the same here as anywhere in England; the work is done by people in the UK who answer the same day.

Continuity matters in vat returns: the person who prepared last year's work for your St James's business prepares this year's, and remembers what was agreed.

Plain English, with the numbers. Every draft for St James's comes with a short explanation of what the figures mean and what, if anything, you should do about them.

Worth knowing

Rules that come up in this work

Confirmation statements and identity verification

Companies House has tightened its requirements under the Economic Crime and Corporate Transparency Act: every company needs a registered email address and an appropriate registered office, every statement includes a lawful-purpose declaration, and every director and PSC must verify their identity. The confirmation statement, due annually with a £50 fee, is where most of this is confirmed.

CIS deductions

The Construction Industry Scheme affects both sides of a construction payment. Contractors must verify subcontractors, deduct the right amount, issue statements and file monthly, with penalties from £100 for each late return. Subcontractors suffer deductions on turnover and recover the excess at the year end. Limited company subcontractors offset deductions against PAYE monthly instead.

Dormant companies

Dormancy is a status that is easy to lose. The strict rule is no accounting transactions other than share capital and Companies House fees, which means no bank account activity at all in practice. Fees should be paid personally by the director. A company that traded and has stopped becomes dormant only after its final trading accounts and tax return are filed and HMRC is told.

The trading and property allowances

The first £1,000 of trading income and, separately, the first £1,000 of property income each year is tax free under the trading and property allowances. Below those figures no return is needed for that income. Above them you can deduct the £1,000 allowance instead of actual expenses if that is better, which suits side businesses and single-room lets with few costs.

Employer National Insurance

The cost of an employee is more than the salary. Employer National Insurance at 15% above £5,000 a year, the 3% minimum pension contribution, holiday pay, equipment and management time all come on top. The Employment Allowance of £10,500 reduces the National Insurance for most employers with more than one person on the payroll.

The VAT registration threshold

VAT registration is compulsory once taxable turnover in any rolling twelve-month period exceeds £90,000, or when you expect to exceed that in the next thirty days alone. The test is rolling, not by tax year, and includes zero-rated sales. Businesses regularly cross it without noticing, and late registration means accounting for VAT on sales where it was never charged to customers.

Workplace pensions and auto-enrolment

Workplace pension compliance is part of payroll, not separate from it. Each pay period the payroll assesses who is eligible, calculates employer and employee contributions on qualifying earnings between the lower and upper thresholds, and sends the contribution file to the scheme. The minimum total is 8%, and many employers choose to contribute more as a recruitment advantage.

Questions

VAT Returns questions from St James's

Can you handle a VAT registration from scratch?

Yes. Registration with HMRC is £49, or £79 with scheme advice, and £119 including your first return. We need your business details, turnover figures and bank account. HMRC usually issues the VAT number within two to four weeks, and we tell you how to invoice in the meantime.

Do I need Making Tax Digital software for VAT?

Yes. All VAT-registered businesses must keep digital records and submit returns through MTD-compatible software; HMRC's old online form is closed. If you have no software, our bookkeeping service provides it, or the MTD VAT setup package at £129 gets you compliant with your first return filed.

What happens if a return is late?

HMRC's points-based system gives one penalty point per late return; at four points (for quarterly filers) each further late return costs £200. Late payment penalties start at 3% of the tax after 15 days, with daily interest from day one. We file on time if we have your records; late-filer rescues are £99 per return.

Can I claim VAT on everything the business buys?

Only on purchases used for making taxable supplies, with a valid VAT invoice. Business entertainment, most cars and anything with private use are restricted or blocked. If you make some exempt supplies, partial exemption rules limit recovery. We check these before each return.

How does the domestic reverse charge affect construction businesses?

Since March 2021, VAT-registered subcontractors supplying construction services to VAT-registered contractors within CIS do not charge VAT; the contractor accounts for it. Invoices must say so. Getting this wrong in either direction is common and we check every construction client's invoices against the rule.

I sell online through marketplaces. Who accounts for the VAT?

For goods sold to UK consumers through an online marketplace by an overseas seller, the marketplace accounts for the VAT. UK-based sellers account for their own. Imports, low-value consignments and sales to EU customers each have specific rules, and our e-commerce specialists handle the detail.

Which deadlines matter most for vat returns?

The next four dates that apply to vat returns are shown at the top of this page, calculated from today. For St James's clients we diarise every one of them from the day you join and send reminders before each, so the work is done in good time rather than in the last week before a penalty.

How do I get started from St James's?

Message us on WhatsApp or email with a sentence about your business and what you need. We reply in working hours with any questions and a fixed fee for vat returns. Once you confirm, we tell you exactly which records to send and the work begins. Most St James's clients are set up within a day.
