How it works

VAT Returns from Sheader, step by step

  1. Tell us your situation

A short message or call about what you do and what needs filing. We ask the questions that determine the right package and nothing more.

  2. Fixed fee in writing

You receive one price for the work, confirmed by email before anything starts. It does not change if the job takes longer than we expected.

  3. Send records, review the draft

Records come by WhatsApp or email. We prepare the draft, explain the figures in plain English and answer your questions.

  4. We file, you get the receipts

Once you approve and the fee is settled, we submit electronically and forward the HMRC or Companies House acknowledgement the same day.

Why IGI

What you get in Sheader

One fixed fee for vat returns in Sheader, agreed in writing before any work starts and never changed part-way through the job, however long it takes us.

Nothing for Sheader is left to the last week. Each deadline relevant to vat returns is tracked from the day you join, with the next four shown on every page we send you.

We serve Sheader remotely by design: records by WhatsApp or email, drafts back for approval, filing electronic. The saving on premises is passed to you in the fee for vat returns.

A named person handles your vat returns from Sheader and knows the file, so you are not re-explaining your business to a different helpdesk each time.

We explain vat returns in the words Sheader business owners use, not in accountant's shorthand, and we show our working so you can check it.

Nothing is filed for Sheader until you have reviewed and approved it. You see the draft, you ask questions, you sign off, then we submit and send you the receipt.

Worth knowing

Rules that come up in this work

Dormant companies

Dormancy is a status that is easy to lose. The strict rule is no accounting transactions other than share capital and Companies House fees, which means no bank account activity at all in practice. Fees should be paid personally by the director. A company that traded and has stopped becomes dormant only after its final trading accounts and tax return are filed and HMRC is told.

The trading and property allowances

Small side incomes are covered by two £1,000 allowances, one for trading and one for property, which remove the need to register or report income below that level. Once income exceeds £1,000, the allowance can be used in place of expenses, a choice worth making deliberately: a freelancer with £900 of costs is better off with the allowance, one with £3,000 is not.

Employer National Insurance

Since April 2025 employer National Insurance has been 15% on earnings above a £5,000 secondary threshold, a substantial increase for small employers. The Employment Allowance rose to £10,500 at the same time to soften it for the smallest businesses. Directors deciding their own salary weigh this cost against the Corporation Tax deduction a salary provides.

Workplace pensions and auto-enrolment

Workplace pension compliance is part of payroll, not separate from it. Each pay period the payroll assesses who is eligible, calculates employer and employee contributions on qualifying earnings between the lower and upper thresholds, and sends the contribution file to the scheme. The minimum total is 8%, and many employers choose to contribute more as a recruitment advantage.

Record keeping

Good records are the difference between a quick enquiry and a long one. For the self-employed, five years after the filing deadline; for companies, six years from the year end; for VAT, six years. Photographs of receipts, PDF statements and software exports all count. The requirement is to keep records, not paper, and a well-organised cloud folder satisfies it.

Allowable expenses

An expense is allowable against trading profit if it is incurred wholly and exclusively for the business. Materials, business travel other than ordinary commuting, a proportion of home running costs, software, insurance, professional fees, bank charges and protective clothing qualify. Client entertainment, ordinary clothing, fines and the private share of mixed-use costs do not.

Crypto records and reporting

HMRC treats cryptoassets as property. Swapping one token for another, spending crypto or gifting it are all disposals for Capital Gains Tax, and staking and lending rewards are income. Gains are computed under pooling rules with same-day and 30-day matching. From 2026 HMRC receives data from exchanges worldwide under the Cryptoasset Reporting Framework, so unreported activity is increasingly visible.

Questions

VAT Returns questions from Sheader

Can you handle a VAT registration from scratch?

Yes. Registration with HMRC is £49, or £79 with scheme advice, and £119 including your first return. We need your business details, turnover figures and bank account. HMRC usually issues the VAT number within two to four weeks, and we tell you how to invoice in the meantime.

Do I need Making Tax Digital software for VAT?

Yes. All VAT-registered businesses must keep digital records and submit returns through MTD-compatible software; HMRC's old online form is closed. If you have no software, our bookkeeping service provides it, or the MTD VAT setup package at £129 gets you compliant with your first return filed.

What happens if a return is late?

HMRC's points-based system gives one penalty point per late return; at four points (for quarterly filers) each further late return costs £200. Late payment penalties start at 3% of the tax after 15 days, with daily interest from day one. We file on time if we have your records; late-filer rescues are £99 per return.

Can I claim VAT on everything the business buys?

Only on purchases used for making taxable supplies, with a valid VAT invoice. Business entertainment, most cars and anything with private use are restricted or blocked. If you make some exempt supplies, partial exemption rules limit recovery. We check these before each return.

How does the domestic reverse charge affect construction businesses?

Since March 2021, VAT-registered subcontractors supplying construction services to VAT-registered contractors within CIS do not charge VAT; the contractor accounts for it. Invoices must say so. Getting this wrong in either direction is common and we check every construction client's invoices against the rule.

I sell online through marketplaces. Who accounts for the VAT?

For goods sold to UK consumers through an online marketplace by an overseas seller, the marketplace accounts for the VAT. UK-based sellers account for their own. Imports, low-value consignments and sales to EU customers each have specific rules, and our e-commerce specialists handle the detail.

Which deadlines matter most for vat returns?

The next four dates that apply to vat returns are shown at the top of this page, calculated from today. For Sheader clients we diarise every one of them from the day you join and send reminders before each, so the work is done in good time rather than in the last week before a penalty.

How do I get started from Sheader?

Message us on WhatsApp or email with a sentence about your business and what you need. We reply in working hours with any questions and a fixed fee for vat returns. Once you confirm, we tell you exactly which records to send and the work begins. Most Sheader clients are set up within a day.
