How it works

Payroll from Quarter, step by step

  1. Tell us your situation

A short message or call about what you do and what needs filing. We ask the questions that determine the right package and nothing more.

  2. Fixed fee in writing

You receive one price for the work, confirmed by email before anything starts. It does not change if the job takes longer than we expected.

  3. Send records, review the draft

Records come by WhatsApp or email. We prepare the draft, explain the figures in plain English and answer your questions.

  4. We file, you get the receipts

Once you approve and the fee is settled, we submit electronically and forward the HMRC or Companies House acknowledgement the same day.

Why IGI

Why Quarter businesses file with IGI

No hourly rate and no surprise invoice. Quarter clients know the fee for payroll before they send a single document, and it stays fixed.

We work to the HMRC and Companies House calendar, not an appointment diary. Clients in Quarter get reminders at 60, 30 and 7 days before each date that applies to payroll.

Online only, UK based. There is no office in Quarter to pay for, which is why the fee is the same here as anywhere in Scotland; the work is done by people in the UK who answer the same day.

Continuity matters in payroll: the person who prepared last year's work for your Quarter business prepares this year's, and remembers what was agreed.

Plain English, with the numbers. Every draft for Quarter comes with a short explanation of what the figures mean and what, if anything, you should do about them.

You stay in control of payroll: drafts go to Quarter clients first, with the figures explained, and nothing leaves us until you say so.

Worth knowing

Rules that come up in this work

Confirmation statements and identity verification

Every company must file a confirmation statement at least once a year, within fourteen days of its review date, with a £50 Companies House fee. Since November 2025 directors and people with significant control must also verify their identity with Companies House, and the confirmation statement is where existing officers confirm they have done so during the transition year.

CIS deductions

Under the Construction Industry Scheme, contractors deduct 20% from a registered subcontractor's labour invoices, or 30% if unregistered, and pay it to HMRC. The subcontractor reclaims the deductions against their actual tax through Self Assessment, usually producing a refund because deductions are on turnover while tax is on profit. Contractors file a monthly return by the 19th.

Switching accountants

You can switch accountant at any point in the year. The new firm requests clearance and your records from the old one, which cannot withhold your own documents though it may hold its own working papers until its fees are settled. Agent authorisations with HMRC and Companies House are transferred, and the next deadline is picked up without a gap.

Closing a company

Striking off a company is cheap but must be done in order: stop trading, file the final accounts and CT600, pay the tax, close VAT and PAYE, distribute the remaining assets, close the bank account, then apply. Anything left in the company at dissolution passes to the Crown. Distributions up to £25,000 are taxed as capital gains; above that a formal liquidation is usually needed to keep capital treatment.

Dormant companies

A dormant company is one with no significant accounting transactions in the year, where the only permitted entries are the payment for shares on incorporation, Companies House fees and penalties. It still files a confirmation statement and simplified dormant accounts every year. A bank charge or an accountant's fee paid from the company ends dormancy and requires full accounts.

The trading and property allowances

Small side incomes are covered by two £1,000 allowances, one for trading and one for property, which remove the need to register or report income below that level. Once income exceeds £1,000, the allowance can be used in place of expenses, a choice worth making deliberately: a freelancer with £900 of costs is better off with the allowance, one with £3,000 is not.

Employer National Insurance

The cost of an employee is more than the salary. Employer National Insurance at 15% above £5,000 a year, the 3% minimum pension contribution, holiday pay, equipment and management time all come on top. The Employment Allowance of £10,500 reduces the National Insurance for most employers with more than one person on the payroll.

Questions

Payroll questions from Quarter

Can you take over mid-year from another provider or software?

Yes. We need the year-to-date figures for each employee, the last submissions to HMRC and the pension scheme details. The transfer is included in the fee and the first pay run under us reconciles to the previous provider's figures so HMRC sees no gap.

I am taking on my first employee. What do I need?

A PAYE employer registration with HMRC (our £49 service, or £99 with the first payroll run set up), a workplace pension scheme, employer's liability insurance, a written statement of employment terms and right-to-work checks. We handle the first two and tell you plainly what to do about the rest.

What salary should a director take?

For 2026/27 many directors take a salary at or just above the National Insurance thresholds so that the year counts towards the State Pension while minimising deductions, and take further income as dividends. The right figure depends on the company's profit and your other income, and our tax planning review covers it in detail.

Do I have to offer a workplace pension?

Yes, if you employ anyone aged 22 to State Pension age earning over £10,000 a year. They must be enrolled automatically with minimum contributions of 8% of qualifying earnings, at least 3% from you. Director-only companies with no employment contract are usually exempt. The £99 setup package handles the scheme, the declaration of compliance and the letters.

How are starters and leavers handled?

For a starter we need the P45 or a starter checklist, bank details and contract terms; we set them up and report them to HMRC on the first pay run. For a leaver we process final pay, issue the P45 and report the leaving date. Both are included in the monthly fee.

What about sick pay, maternity and paternity pay?

Statutory Sick Pay, Maternity, Paternity, Adoption and Shared Parental Pay are calculated and paid through the payroll when the qualifying conditions are met, and the recoverable portion of parental pay is reclaimed from HMRC through the Employer Payment Summary. All included.

Which deadlines matter most for payroll?

The next four dates that apply to payroll are shown at the top of this page, calculated from today. For Quarter clients we diarise every one of them from the day you join and send reminders before each, so the work is done in good time rather than in the last week before a penalty.

How do I get started from Quarter?

Message us on WhatsApp or email with a sentence about your business and what you need. We reply in working hours with any questions and a fixed fee for payroll. Once you confirm, we tell you exactly which records to send and the work begins. Most Quarter clients are set up within a day.
