How it works

Payroll from Polcrebo, step by step

  1. Tell us your situation

A short message or call about what you do and what needs filing. We ask the questions that determine the right package and nothing more.

  2. Fixed fee in writing

You receive one price for the work, confirmed by email before anything starts. It does not change if the job takes longer than we expected.

  3. Send records, review the draft

Records come by WhatsApp or email. We prepare the draft, explain the figures in plain English and answer your questions.

  4. We file, you get the receipts

Once you approve and the fee is settled, we submit electronically and forward the HMRC or Companies House acknowledgement the same day.

Why IGI

The IGI way of working, in Polcrebo

No hourly rate and no surprise invoice. Polcrebo clients know the fee for payroll before they send a single document, and it stays fixed.

We work to the HMRC and Companies House calendar, not an appointment diary. Clients in Polcrebo get reminders at 60, 30 and 7 days before each date that applies to payroll.

Online only, UK based. There is no office in Polcrebo to pay for, which is why the fee is the same here as anywhere in England; the work is done by people in the UK who answer the same day.

Continuity matters in payroll: the person who prepared last year's work for your Polcrebo business prepares this year's, and remembers what was agreed.

We explain payroll in the words Polcrebo business owners use, not in accountant's shorthand, and we show our working so you can check it.

Nothing is filed for Polcrebo until you have reviewed and approved it. You see the draft, you ask questions, you sign off, then we submit and send you the receipt.

Worth knowing

Rules that come up in this work

Record keeping

HMRC requires records of all income and expenses, bank statements, invoices and receipts to be kept for at least five years after the 31 January filing deadline of the tax year they relate to, and companies must keep records for six years from the end of the accounting period. Digital copies are acceptable. Under Making Tax Digital the records must be kept in compatible software.

Allowable expenses

The expenses sole traders most often miss are home working costs, claimed by actual proportion or HMRC's flat rate, the business share of phone and internet, mileage at 45p for the first 10,000 business miles, and training that maintains existing skills. The ones most often claimed wrongly are commuting, entertaining customers and clothes that could be worn outside work.

Crypto records and reporting

HMRC treats cryptoassets as property. Swapping one token for another, spending crypto or gifting it are all disposals for Capital Gains Tax, and staking and lending rewards are income. Gains are computed under pooling rules with same-day and 30-day matching. From 2026 HMRC receives data from exchanges worldwide under the Cryptoasset Reporting Framework, so unreported activity is increasingly visible.

The 60-day property CGT return

Selling UK residential property that was not your main home for the whole period of ownership triggers a separate Capital Gains Tax return, due within 60 days of completion along with payment of the tax. This is in addition to the annual Self Assessment. The gain is taxed at 18% or 24% depending on your income band, after the £3,000 annual exempt amount.

Dormant companies

Companies formed to protect a name or hold a future business are dormant but not exempt: Companies House still expects dormant accounts within nine months of the year end and a confirmation statement annually with its £50 fee, and HMRC must be told the company is dormant or it will demand Corporation Tax returns. The filings are short, but the penalties for missing them are the same as for a trading company.

The trading and property allowances

The first £1,000 of trading income and, separately, the first £1,000 of property income each year is tax free under the trading and property allowances. Below those figures no return is needed for that income. Above them you can deduct the £1,000 allowance instead of actual expenses if that is better, which suits side businesses and single-room lets with few costs.

Employer National Insurance

The cost of an employee is more than the salary. Employer National Insurance at 15% above £5,000 a year, the 3% minimum pension contribution, holiday pay, equipment and management time all come on top. The Employment Allowance of £10,500 reduces the National Insurance for most employers with more than one person on the payroll.

Questions

Payroll questions from Polcrebo

What does the £25 director-only payroll include?

Monthly payroll for one director: the payslip, the RTI submission to HMRC, the calculation of any PAYE and National Insurance due, year-end P60 and final submission. It is designed for directors taking a salary around the National Insurance thresholds alongside dividends.

How is the fee set for a team?

By headcount: up to 5 employees is £45 a month and up to 10 is £69 a month, whatever the pay frequency. Weekly, fortnightly and monthly payrolls cost the same. Over 10 employees we quote a fixed fee per month based on numbers and complexity before starting.

What is RTI and when do submissions have to go in?

Real Time Information is HMRC's system for reporting pay and deductions as they happen. A Full Payment Submission must reach HMRC on or before each pay day. Late or missing submissions earn monthly penalties from £100 for small employers. We file on the pay date every time you confirm the figures.

When is PAYE paid to HMRC?

By the 22nd of the following month if paying electronically, or the 19th by post. Employers whose average monthly liability is under £1,500 can pay quarterly. We send a payment note each month with the amount, HMRC's account details and your reference ending in the correct period number.

What salary should a director take?

For 2026/27 many directors take a salary at or just above the National Insurance thresholds so that the year counts towards the State Pension while minimising deductions, and take further income as dividends. The right figure depends on the company's profit and your other income, and our tax planning review covers it in detail.

Do I have to offer a workplace pension?

Yes, if you employ anyone aged 22 to State Pension age earning over £10,000 a year. They must be enrolled automatically with minimum contributions of 8% of qualifying earnings, at least 3% from you. Director-only companies with no employment contract are usually exempt. The £99 setup package handles the scheme, the declaration of compliance and the letters.

Which deadlines matter most for payroll?

The next four dates that apply to payroll are shown at the top of this page, calculated from today. For Polcrebo clients we diarise every one of them from the day you join and send reminders before each, so the work is done in good time rather than in the last week before a penalty.

How do I get started from Polcrebo?

Message us on WhatsApp or email with a sentence about your business and what you need. We reply in working hours with any questions and a fixed fee for payroll. Once you confirm, we tell you exactly which records to send and the work begins. Most Polcrebo clients are set up within a day.
