How it works

Payroll from Newgarth, step by step

  1. Tell us your situation

A short message or call about what you do and what needs filing. We ask the questions that determine the right package and nothing more.

  2. Fixed fee in writing

You receive one price for the work, confirmed by email before anything starts. It does not change if the job takes longer than we expected.

  3. Send records, review the draft

Records come by WhatsApp or email. We prepare the draft, explain the figures in plain English and answer your questions.

  4. We file, you get the receipts

Once you approve and the fee is settled, we submit electronically and forward the HMRC or Companies House acknowledgement the same day.

Why IGI

Why Newgarth businesses file with IGI

No hourly rate and no surprise invoice. Newgarth clients know the fee for payroll before they send a single document, and it stays fixed.

We work to the HMRC and Companies House calendar, not an appointment diary. Clients in Newgarth get reminders at 60, 30 and 7 days before each date that applies to payroll.

We serve Newgarth remotely by design: records by WhatsApp or email, drafts back for approval, filing electronic. The saving on premises is passed to you in the fee for payroll.

A named person handles your payroll from Newgarth and knows the file, so you are not re-explaining your business to a different helpdesk each time.

We explain payroll in the words Newgarth business owners use, not in accountant's shorthand, and we show our working so you can check it.

Nothing is filed for Newgarth until you have reviewed and approved it. You see the draft, you ask questions, you sign off, then we submit and send you the receipt.

Worth knowing

Rules that come up in this work

Crypto records and reporting

Crypto tax splits into capital gains on disposals and income on rewards, with different rates and different reporting. The £3,000 annual exempt amount and the 18% and 24% rates apply to gains; staking, mining and airdrop income is taxed at marginal income tax rates. HMRC's nudge letters to holders have increased sharply, and a voluntary disclosure before one arrives is treated far more leniently.

The 60-day property CGT return

Since April 2020 a gain on UK residential property must be reported and the tax paid within 60 days of completion through HMRC's dedicated service, separately from the annual return. Non-residents must report all UK land disposals in the same window whether or not tax is due. Getting the computation right first time matters because the figure is then carried into the Self Assessment.

Record keeping

Good records are the difference between a quick enquiry and a long one. For the self-employed, five years after the filing deadline; for companies, six years from the year end; for VAT, six years. Photographs of receipts, PDF statements and software exports all count. The requirement is to keep records, not paper, and a well-organised cloud folder satisfies it.

Allowable expenses

Expense claims are where a return is won or lost in an enquiry. The test is wholly and exclusively for the trade; where a cost is mixed, the business proportion can be claimed if it can be identified. Capital items such as equipment and vans are relieved through capital allowances rather than as expenses, except under the cash basis where they are simply deducted when paid.

Switching accountants

You can switch accountant at any point in the year. The new firm requests clearance and your records from the old one, which cannot withhold your own documents though it may hold its own working papers until its fees are settled. Agent authorisations with HMRC and Companies House are transferred, and the next deadline is picked up without a gap.

Closing a company

Striking off a company is cheap but must be done in order: stop trading, file the final accounts and CT600, pay the tax, close VAT and PAYE, distribute the remaining assets, close the bank account, then apply. Anything left in the company at dissolution passes to the Crown. Distributions up to £25,000 are taxed as capital gains; above that a formal liquidation is usually needed to keep capital treatment.

Salary versus dividends

The salary-and-dividend split is the central planning decision for an owner-managed company. Salary costs employer National Insurance above £5,000 but is deductible; dividends are not deductible but attract lower personal rates and no National Insurance. The optimum changes each April with the thresholds and depends on the director's other income, so it should be set deliberately every year.

Questions

Payroll questions from Newgarth

What is RTI and when do submissions have to go in?

Real Time Information is HMRC's system for reporting pay and deductions as they happen. A Full Payment Submission must reach HMRC on or before each pay day. Late or missing submissions earn monthly penalties from £100 for small employers. We file on the pay date every time you confirm the figures.

When is PAYE paid to HMRC?

By the 22nd of the following month if paying electronically, or the 19th by post. Employers whose average monthly liability is under £1,500 can pay quarterly. We send a payment note each month with the amount, HMRC's account details and your reference ending in the correct period number.

What does the £25 director-only payroll include?

Monthly payroll for one director: the payslip, the RTI submission to HMRC, the calculation of any PAYE and National Insurance due, year-end P60 and final submission. It is designed for directors taking a salary around the National Insurance thresholds alongside dividends.

How is the fee set for a team?

By headcount: up to 5 employees is £45 a month and up to 10 is £69 a month, whatever the pay frequency. Weekly, fortnightly and monthly payrolls cost the same. Over 10 employees we quote a fixed fee per month based on numbers and complexity before starting.

How are starters and leavers handled?

For a starter we need the P45 or a starter checklist, bank details and contract terms; we set them up and report them to HMRC on the first pay run. For a leaver we process final pay, issue the P45 and report the leaving date. Both are included in the monthly fee.

What about sick pay, maternity and paternity pay?

Statutory Sick Pay, Maternity, Paternity, Adoption and Shared Parental Pay are calculated and paid through the payroll when the qualifying conditions are met, and the recoverable portion of parental pay is reclaimed from HMRC through the Employer Payment Summary. All included.

Do you have an office in Newgarth?

No. IGI Accounting is an online-only firm. We serve Newgarth and every other UK postcode remotely, with records sent by WhatsApp or email and everything filed electronically. The absence of local premises is why the fee for payroll is the same in Newgarth as anywhere else in the country, and why there is nothing to visit and nothing to print.

Is payroll in Newgarth really the same price as elsewhere?

Yes. The fee published on this page is what a client in Newgarth pays and what a client in any other part of Scotland pays. It is confirmed in writing before work starts and the invoice matches the quote. Where a higher package applies because your situation is more complex, we say so at the quote stage, never afterwards.
