Why IGI
The IGI way of working, in Kirkwood
No hourly rate and no surprise invoice. Kirkwood clients know the fee for vat returns before they send a single document, and it stays fixed.
We work to the HMRC and Companies House calendar, not an appointment diary. Clients in Kirkwood get reminders at 60, 30 and 7 days before each date that applies to vat returns.
Online only, UK based. There is no office in Kirkwood to pay for, which is why the fee is the same here as anywhere in Scotland; the work is done by people in the UK who answer the same day.
Continuity matters in vat returns: the person who prepared last year's work for your Kirkwood business prepares this year's, and remembers what was agreed.
We explain vat returns in the words Kirkwood business owners use, not in accountant's shorthand, and we show our working so you can check it.
Nothing is filed for Kirkwood until you have reviewed and approved it. You see the draft, you ask questions, you sign off, then we submit and send you the receipt.

Rules that come up in this work
The Self Assessment calendar
Self Assessment runs on a fixed annual cycle. Registration by 5 October following the tax year, online filing and payment by 31 January, and a second instalment on 31 July for those making payments on account. The penalties for lateness are automatic and escalate monthly, which is why we file early and chase approvals well before the window closes.
Payments on account
A common surprise in Self Assessment is the January payment that is far larger than expected. That is the balancing payment for the year just ended plus the first payment on account for the year ahead, which HMRC sets at half of the bill just calculated. We put the figure in your hands months ahead and tell you how to adjust it legitimately when circumstances change.
Record keeping
Good records are the difference between a quick enquiry and a long one. For the self-employed, five years after the filing deadline; for companies, six years from the year end; for VAT, six years. Photographs of receipts, PDF statements and software exports all count. The requirement is to keep records, not paper, and a well-organised cloud folder satisfies it.
Late filing penalties
HMRC's penalties for a late Self Assessment return are automatic: £100 the day after 31 January, £10 a day from three months late up to £900, then the greater of £300 or 5% of the tax at six and twelve months. Interest and separate late-payment penalties apply to the tax itself. Companies House charges £150 to £1,500 for late accounts, doubling for a second consecutive year.
Allowable expenses
The expenses sole traders most often miss are home working costs, claimed by actual proportion or HMRC's flat rate, the business share of phone and internet, mileage at 45p for the first 10,000 business miles, and training that maintains existing skills. The ones most often claimed wrongly are commuting, entertaining customers and clothes that could be worn outside work.
Making Tax Digital for Income Tax
Making Tax Digital for Income Tax began in April 2026 for sole traders and landlords with qualifying income over £50,000, extends to those over £30,000 in April 2027 and is planned for £20,000 in April 2028. It requires digital records in compatible software and four quarterly updates to HMRC each year, with a final declaration replacing the traditional return. Payment dates are unchanged.
Crypto records and reporting
Crypto tax splits into capital gains on disposals and income on rewards, with different rates and different reporting. The £3,000 annual exempt amount and the 18% and 24% rates apply to gains; staking, mining and airdrop income is taxed at marginal income tax rates. HMRC's nudge letters to holders have increased sharply, and a voluntary disclosure before one arrives is treated far more leniently.
Questions
VAT Returns questions from Kirkwood
What does the £35 a month fee cover?
Quarterly VAT returns prepared from your own bookkeeping records, reviewed by us for coding errors, submitted through MTD-compatible software and confirmed back to you with HMRC's receipt and the payment details. If we also do your bookkeeping, the combined bundle is £119 a month.
When do I have to register for VAT?
When your taxable turnover in any rolling 12 months exceeds £90,000, or you expect it to exceed £90,000 in the next 30 days alone. You must register within 30 days of the end of the month you crossed the threshold. Voluntary registration below the threshold is possible and sometimes beneficial; we advise either way.
Which VAT scheme should I use?
The standard scheme suits most businesses with significant costs. The flat rate scheme can benefit low-cost service businesses, though the limited-cost trader rate of 16.5% removes most of the advantage. Cash accounting helps with slow-paying customers. We review your figures and recommend one; the £79 registration-plus-advice package includes this.
When are returns and payments due?
One month and seven days after the end of each VAT quarter, for both the return and the payment. A quarter ending 31 March is due by 7 May. Direct debit payments are taken three working days later. We send you the figure and reference at least a week before the date.
What happens if a return is late?
HMRC's points-based system gives one penalty point per late return; at four points (for quarterly filers) each further late return costs £200. Late payment penalties start at 3% of the tax after 15 days, with daily interest from day one. We file on time if we have your records; late-filer rescues are £99 per return.
Can I claim VAT on everything the business buys?
Only on purchases used for making taxable supplies, with a valid VAT invoice. Business entertainment, most cars and anything with private use are restricted or blocked. If you make some exempt supplies, partial exemption rules limit recovery. We check these before each return.
Which deadlines matter most for vat returns?
The next four dates that apply to vat returns are shown at the top of this page, calculated from today. For Kirkwood clients we diarise every one of them from the day you join and send reminders before each, so the work is done in good time rather than in the last week before a penalty.
