How it works

Sole Trader Accounts from Keils, step by step

  1. Tell us your situation

A short message or call about what you do and what needs filing. We ask the questions that determine the right package and nothing more.

  2. Fixed fee in writing

You receive one price for the work, confirmed by email before anything starts. It does not change if the job takes longer than we expected.

  3. Send records, review the draft

Records come by WhatsApp or email. We prepare the draft, explain the figures in plain English and answer your questions.

  4. We file, you get the receipts

Once you approve and the fee is settled, we submit electronically and forward the HMRC or Companies House acknowledgement the same day.

Why IGI

Why Keils businesses file with IGI

No hourly rate and no surprise invoice. Keils clients know the fee for sole trader accounts before they send a single document, and it stays fixed.

We work to the HMRC and Companies House calendar, not an appointment diary. Clients in Keils get reminders at 60, 30 and 7 days before each date that applies to sole trader accounts.

We serve Keils remotely by design: records by WhatsApp or email, drafts back for approval, filing electronic. The saving on premises is passed to you in the fee for sole trader accounts.

A named person handles your sole trader accounts from Keils and knows the file, so you are not re-explaining your business to a different helpdesk each time.

We explain sole trader accounts in the words Keils business owners use, not in accountant's shorthand, and we show our working so you can check it.

Nothing is filed for Keils until you have reviewed and approved it. You see the draft, you ask questions, you sign off, then we submit and send you the receipt.

Worth knowing

Rules that come up in this work

Confirmation statements and identity verification

Every company must file a confirmation statement at least once a year, within fourteen days of its review date, with a £50 Companies House fee. Since November 2025 directors and people with significant control must also verify their identity with Companies House, and the confirmation statement is where existing officers confirm they have done so during the transition year.

CIS deductions

CIS turns construction subcontractors into advance taxpayers: a fifth of every labour payment goes to HMRC before they see it. Registering keeps the rate at 20% rather than 30%; gross payment status, for established businesses with a clean record, removes deductions altogether. The annual return is where the overpayment comes back, and filing it early brings the refund sooner.

Salary versus dividends

Paying yourself from a company involves two routes with different tax treatment. Salary through payroll is a company expense and builds a National Insurance record; dividends come from post-tax profit at lower personal rates. Undocumented drawings that are neither become director's loans, with a 35.75% section 455 charge if not repaid within nine months of the year end.

Director's loan accounts

Money taken from a company has to be something: salary, dividend, expense reimbursement or loan. If it is a loan and remains outstanding nine months after the year end, the company pays tax at the dividend higher rate on it until it is repaid. Clearing the balance with a properly declared dividend before the deadline, where reserves allow, is routine year-end work.

The VAT registration threshold

The £90,000 VAT threshold is measured over any twelve consecutive months, which is why a strong quarter can tip a business over unexpectedly. Registration must follow within thirty days of the end of the month the threshold was crossed. Below the threshold, voluntary registration is worth considering when customers are VAT-registered businesses and costs carry VAT.

Corporation Tax rates and marginal relief

Since April 2023 there have been two Corporation Tax rates, 19% small profits and 25% main, with marginal relief smoothing the transition between £50,000 and £250,000 of profit. The band is where planning matters: each pound of profit in it is taxed at an effective 26.5%, so pension contributions and capital expenditure timed to keep profit below £50,000 are worth more than they look.

Late filing penalties

Penalties are the clearest reason to work to deadlines. A Self Assessment return one day late costs £100 regardless of whether any tax is due; three months late adds £10 a day. Late company accounts start at £150 and reach £1,500, and double if the previous year was also late. None of this is negotiable afterwards except through a narrow reasonable-excuse appeal.

Questions

Sole Trader Accounts questions from Keils

I started trading part-way through the year. What is my first accounting period?

Since the basis period reform, sole traders are taxed on profits of the tax year, 6 April to 5 April, regardless of accounting date. A first period runs from your start date to 5 April. If you prefer a different accounting date we apportion the profits, but for most new traders a 5 April year end is simplest.

Should I become a limited company?

It depends on profit level, how much you need to draw, liability exposure and whether you want to retain profits. At modest profits the saving is small after the extra compliance cost; at higher profits incorporation can help. Our free comparison tool gives a first view and the tax planning review gives a definitive one.

Cash basis or accruals: which should I use?

Since April 2024 the cash basis is the default for sole traders and has no turnover limit; you record income when received and expenses when paid. Accruals matches income and costs to the period they relate to and suits businesses with stock, large debtors or losses to carry. We recommend one based on your figures and explain why.

What can I claim for working from home?

Either a proportion of actual household costs based on rooms and hours, or HMRC's simplified flat rate of £10 to £26 a month depending on hours worked at home. We calculate both and claim the higher. Mortgage interest, rent, council tax, utilities and insurance can all form part of the actual-cost method.

What is the difference between the £149 and £249 fees?

The £149 fee applies when your records are already organised: bookkeeping software, a spreadsheet that reconciles to the bank, or our own monthly bookkeeping. The £249 fee covers rebuilding the year from bank statements and loose receipts. We look at what you have before quoting so the fee is fixed from the start.

Do I need accounts as well as a tax return?

HMRC requires a profit figure on the self-employment pages, and the accounts are how that figure is produced and supported. Very small businesses can complete the three-line account on the return, but once turnover is meaningful, proper accounts protect you in an enquiry and show you how the business is actually doing. The £229 bundle includes both.

Do you have an office in Keils?

No. IGI Accounting is an online-only firm. We serve Keils and every other UK postcode remotely, with records sent by WhatsApp or email and everything filed electronically. The absence of local premises is why the fee for sole trader accounts is the same in Keils as anywhere else in the country, and why there is nothing to visit and nothing to print.

Is sole trader accounts in Keils really the same price as elsewhere?

Yes. The fee published on this page is what a client in Keils pays and what a client in any other part of Scotland pays. It is confirmed in writing before work starts and the invoice matches the quote. Where a higher package applies because your situation is more complex, we say so at the quote stage, never afterwards.
