VAT returns in Hartfield
Four times a year, every VAT-registered business in Hartfield owes HMRC a return and a payment by the 7th of the second month after the quarter end. We make sure both are right: input VAT claimed only where it is allowed, output VAT at the correct rate, and the return filed on time. Fixed monthly fee, agreed in writing.

About Hartfield
Hartfield is in South East, England. For businesses in England the tax rules are those set by the UK Parliament: the 20/40/45% income tax bands, Class 4 National Insurance for the self-employed at 6% and 2%, Corporation Tax at 19% to 25%, and Stamp Duty Land Tax on property. Business rates are set locally by the council.

Worth knowing
Rules that come up in this work
The Self Assessment calendar
The tax year runs from 6 April to 5 April. Anyone new to Self Assessment must register by 5 October after the end of the tax year in which their untaxed income began. The online return and the balancing payment are due by 31 January, with a second payment on account on 31 July where they apply. Paper returns have an earlier deadline of 31 October and are rarely sensible.
Making Tax Digital for Income Tax
MTD for Income Tax replaces one annual return with quarterly digital updates and a year-end declaration, submitted from software. The threshold is gross trading and property income, measured two years earlier, and started at £50,000 in April 2026 before falling to £30,000 in April 2027. Anyone affected needs digital record keeping in place before their start date, not after.
Late filing penalties
HMRC's penalties for a late Self Assessment return are automatic: £100 the day after 31 January, £10 a day from three months late up to £900, then the greater of £300 or 5% of the tax at six and twelve months. Interest and separate late-payment penalties apply to the tax itself. Companies House charges £150 to £1,500 for late accounts, doubling for a second consecutive year.
Workplace pensions and auto-enrolment
Auto-enrolment duties begin the day you take on your first employee, not when the Pensions Regulator writes to you. Eligible staff must be enrolled, contributions paid every pay period and re-enrolment carried out every three years. Director-only companies without employment contracts are usually exempt. Fines for non-compliance are fixed and escalating.
Employer National Insurance
The cost of an employee is more than the salary. Employer National Insurance at 15% above £5,000 a year, the 3% minimum pension contribution, holiday pay, equipment and management time all come on top. The Employment Allowance of £10,500 reduces the National Insurance for most employers with more than one person on the payroll.
The trading and property allowances
The first £1,000 of trading income and, separately, the first £1,000 of property income each year is tax free under the trading and property allowances. Below those figures no return is needed for that income. Above them you can deduct the £1,000 allowance instead of actual expenses if that is better, which suits side businesses and single-room lets with few costs.
Dormant companies
Companies formed to protect a name or hold a future business are dormant but not exempt: Companies House still expects dormant accounts within nine months of the year end and a confirmation statement annually with its £50 fee, and HMRC must be told the company is dormant or it will demand Corporation Tax returns. The filings are short, but the penalties for missing them are the same as for a trading company.
Questions
VAT Returns questions from Hartfield
When are returns and payments due?
One month and seven days after the end of each VAT quarter, for both the return and the payment. A quarter ending 31 March is due by 7 May. Direct debit payments are taken three working days later. We send you the figure and reference at least a week before the date.
Which VAT scheme should I use?
The standard scheme suits most businesses with significant costs. The flat rate scheme can benefit low-cost service businesses, though the limited-cost trader rate of 16.5% removes most of the advantage. Cash accounting helps with slow-paying customers. We review your figures and recommend one; the £79 registration-plus-advice package includes this.
When do I have to register for VAT?
When your taxable turnover in any rolling 12 months exceeds £90,000, or you expect it to exceed £90,000 in the next 30 days alone. You must register within 30 days of the end of the month you crossed the threshold. Voluntary registration below the threshold is possible and sometimes beneficial; we advise either way.
What does the £35 a month fee cover?
Quarterly VAT returns prepared from your own bookkeeping records, reviewed by us for coding errors, submitted through MTD-compatible software and confirmed back to you with HMRC's receipt and the payment details. If we also do your bookkeeping, the combined bundle is £119 a month.
I sell online through marketplaces. Who accounts for the VAT?
For goods sold to UK consumers through an online marketplace by an overseas seller, the marketplace accounts for the VAT. UK-based sellers account for their own. Imports, low-value consignments and sales to EU customers each have specific rules, and our e-commerce specialists handle the detail.
How does the domestic reverse charge affect construction businesses?
Since March 2021, VAT-registered subcontractors supplying construction services to VAT-registered contractors within CIS do not charge VAT; the contractor accounts for it. Invoices must say so. Getting this wrong in either direction is common and we check every construction client's invoices against the rule.

Message us on WhatsApp or email with a sentence about your business and what you need. We reply in working hours with any questions and a fixed fee for vat returns. Once you confirm, we tell you exactly which records to send and the work begins. Most Hartfield clients are set up within a day.
Which deadlines matter most for vat returns?
The next four dates that apply to vat returns are shown at the top of this page, calculated from today. For Hartfield clients we diarise every one of them from the day you join and send reminders before each, so the work is done in good time rather than in the last week before a penalty.
