Why IGI
Why Gwarder businesses file with IGI
No hourly rate and no surprise invoice. Gwarder clients know the fee for vat returns before they send a single document, and it stays fixed.
We work to the HMRC and Companies House calendar, not an appointment diary. Clients in Gwarder get reminders at 60, 30 and 7 days before each date that applies to vat returns.
Online only, UK based. There is no office in Gwarder to pay for, which is why the fee is the same here as anywhere in England; the work is done by people in the UK who answer the same day.
Continuity matters in vat returns: the person who prepared last year's work for your Gwarder business prepares this year's, and remembers what was agreed.
We explain vat returns in the words Gwarder business owners use, not in accountant's shorthand, and we show our working so you can check it.
Nothing is filed for Gwarder until you have reviewed and approved it. You see the draft, you ask questions, you sign off, then we submit and send you the receipt.

Worth knowing
Rules that come up in this work
Switching accountants
The main reasons people switch accountant are surprise invoices, missed deadlines and not understanding what they are being told. Switching involves a clearance letter between the firms, a transfer of records and agent authorisations, and a short handover of the current position. It takes about two weeks and should cost nothing extra.
Closing a company
Voluntary strike-off is available only to solvent companies. One that owes money it cannot pay needs a creditors' voluntary liquidation through a licensed insolvency practitioner, and directors who dissolve an insolvent company face personal consequences. For a solvent company the process takes three to four months from filing the DS01, with notice to creditors and shareholders within seven days.
Record keeping
Record keeping is a legal obligation with a penalty of up to £3,000 for failure, but its real value is in making every other filing cheaper and more defensible. Keep invoices, receipts, bank statements, mileage logs and any HMRC correspondence, digitally if you like, for five years after the relevant filing deadline for individuals and six years for companies and VAT.
Allowable expenses
An expense is allowable against trading profit if it is incurred wholly and exclusively for the business. Materials, business travel other than ordinary commuting, a proportion of home running costs, software, insurance, professional fees, bank charges and protective clothing qualify. Client entertainment, ordinary clothing, fines and the private share of mixed-use costs do not.
Crypto records and reporting
Crypto tax splits into capital gains on disposals and income on rewards, with different rates and different reporting. The £3,000 annual exempt amount and the 18% and 24% rates apply to gains; staking, mining and airdrop income is taxed at marginal income tax rates. HMRC's nudge letters to holders have increased sharply, and a voluntary disclosure before one arrives is treated far more leniently.
The 60-day property CGT return
The 60-day Capital Gains Tax return on residential property is the deadline landlords most often miss, because it falls outside the Self Assessment cycle and runs from completion, not exchange. Private residence relief for periods you lived in the property, plus the final nine months, reduces the gain. Penalties for a late return mirror Self Assessment, starting at £100.
Dormant companies
Dormancy is a status that is easy to lose. The strict rule is no accounting transactions other than share capital and Companies House fees, which means no bank account activity at all in practice. Fees should be paid personally by the director. A company that traded and has stopped becomes dormant only after its final trading accounts and tax return are filed and HMRC is told.
Questions
VAT Returns questions from Gwarder
Which VAT scheme should I use?
The standard scheme suits most businesses with significant costs. The flat rate scheme can benefit low-cost service businesses, though the limited-cost trader rate of 16.5% removes most of the advantage. Cash accounting helps with slow-paying customers. We review your figures and recommend one; the £79 registration-plus-advice package includes this.
When are returns and payments due?
One month and seven days after the end of each VAT quarter, for both the return and the payment. A quarter ending 31 March is due by 7 May. Direct debit payments are taken three working days later. We send you the figure and reference at least a week before the date.
What happens if a return is late?
HMRC's points-based system gives one penalty point per late return; at four points (for quarterly filers) each further late return costs £200. Late payment penalties start at 3% of the tax after 15 days, with daily interest from day one. We file on time if we have your records; late-filer rescues are £99 per return.
Can I claim VAT on everything the business buys?
Only on purchases used for making taxable supplies, with a valid VAT invoice. Business entertainment, most cars and anything with private use are restricted or blocked. If you make some exempt supplies, partial exemption rules limit recovery. We check these before each return.
How does the domestic reverse charge affect construction businesses?
Since March 2021, VAT-registered subcontractors supplying construction services to VAT-registered contractors within CIS do not charge VAT; the contractor accounts for it. Invoices must say so. Getting this wrong in either direction is common and we check every construction client's invoices against the rule.
I sell online through marketplaces. Who accounts for the VAT?
For goods sold to UK consumers through an online marketplace by an overseas seller, the marketplace accounts for the VAT. UK-based sellers account for their own. Imports, low-value consignments and sales to EU customers each have specific rules, and our e-commerce specialists handle the detail.
Which deadlines matter most for vat returns?
The next four dates that apply to vat returns are shown at the top of this page, calculated from today. For Gwarder clients we diarise every one of them from the day you join and send reminders before each, so the work is done in good time rather than in the last week before a penalty.
