Local facts

About Gracemount

Gracemount is in Scotland, Scotland. Tax in Scotland differs from the rest of the UK on earned income: six bands with a 21% intermediate rate and a 48% top rate, identified by an S prefix on the tax code. The interaction between Scottish rates on salary and UK rates on dividends makes the salary-and-dividend split for Scottish directors a distinct calculation, and Land and Buildings Transaction Tax replaces Stamp Duty.

Worth knowing

Rules that come up in this work

Closing a company

A solvent company that has finished its purpose can be dissolved by voluntary strike-off: form DS01 with a £13 Companies House fee, after three months without trading and with all debts paid, final accounts and tax return filed, and assets distributed. HMRC objects to any application where returns or tax are outstanding, so the sequence matters more than the form.

Switching accountants

You can switch accountant at any point in the year. The new firm requests clearance and your records from the old one, which cannot withhold your own documents though it may hold its own working papers until its fees are settled. Agent authorisations with HMRC and Companies House are transferred, and the next deadline is picked up without a gap.

The trading and property allowances

Small side incomes are covered by two £1,000 allowances, one for trading and one for property, which remove the need to register or report income below that level. Once income exceeds £1,000, the allowance can be used in place of expenses, a choice worth making deliberately: a freelancer with £900 of costs is better off with the allowance, one with £3,000 is not.

Dormant companies

Dormancy is a status that is easy to lose. The strict rule is no accounting transactions other than share capital and Companies House fees, which means no bank account activity at all in practice. Fees should be paid personally by the director. A company that traded and has stopped becomes dormant only after its final trading accounts and tax return are filed and HMRC is told.

Workplace pensions and auto-enrolment

Every employer must assess its workers for automatic enrolment from the first employee's start date. Those aged 22 to State Pension age earning over £10,000 a year must be enrolled into a qualifying pension with minimum contributions of 8% of qualifying earnings, at least 3% from the employer, and a declaration of compliance made to the Pensions Regulator within five months.

Employer National Insurance

The cost of an employee is more than the salary. Employer National Insurance at 15% above £5,000 a year, the 3% minimum pension contribution, holiday pay, equipment and management time all come on top. The Employment Allowance of £10,500 reduces the National Insurance for most employers with more than one person on the payroll.

Allowable expenses

The expenses sole traders most often miss are home working costs, claimed by actual proportion or HMRC's flat rate, the business share of phone and internet, mileage at 45p for the first 10,000 business miles, and training that maintains existing skills. The ones most often claimed wrongly are commuting, entertaining customers and clothes that could be worn outside work.

Questions

Sole Trader Accounts questions from Gracemount

What National Insurance do sole traders pay?

Class 4 at 6% on profits between £12,570 and £50,270 and 2% above that, collected through Self Assessment. Class 2 is no longer compulsory; profits above £7,105 earn National Insurance credits automatically, and below that you can pay Class 2 voluntarily at £3.65 a week to protect your State Pension record.

How are vehicles treated?

You can claim actual running costs with a business-use percentage plus capital allowances on the vehicle, or HMRC's simplified mileage rate of 45p a mile for the first 10,000 business miles and 25p after that. Once you choose a method for a vehicle you keep it. We compare both for your mileage and show the difference.

What records do I have to keep?

Records of all sales and takings, all purchases and expenses, and bank statements, for at least five years after the 31 January filing deadline of the relevant tax year. Digital copies are acceptable. Under Making Tax Digital the records must be kept in compatible software from your start date.

When does Making Tax Digital apply to me?

From April 2026 if your combined self-employment and property income was over £50,000 in 2024/25; from April 2027 if over £30,000; and planned for April 2028 if over £20,000. It means digital records and quarterly updates to HMRC. Our bookkeeping service handles it, and we tell you your start date as part of the accounts work.

Do I need accounts as well as a tax return?

HMRC requires a profit figure on the self-employment pages, and the accounts are how that figure is produced and supported. Very small businesses can complete the three-line account on the return, but once turnover is meaningful, proper accounts protect you in an enquiry and show you how the business is actually doing. The £229 bundle includes both.

What is the difference between the £149 and £249 fees?

The £149 fee applies when your records are already organised: bookkeeping software, a spreadsheet that reconciles to the bank, or our own monthly bookkeeping. The £249 fee covers rebuilding the year from bank statements and loose receipts. We look at what you have before quoting so the fee is fixed from the start.

Is sole trader accounts in Gracemount really the same price as elsewhere?

Yes. The fee published on this page is what a client in Gracemount pays and what a client in any other part of Scotland pays. It is confirmed in writing before work starts and the invoice matches the quote. Where a higher package applies because your situation is more complex, we say so at the quote stage, never afterwards.

Do you have an office in Gracemount?

No. IGI Accounting is an online-only firm. We serve Gracemount and every other UK postcode remotely, with records sent by WhatsApp or email and everything filed electronically. The absence of local premises is why the fee for sole trader accounts is the same in Gracemount as anywhere else in the country, and why there is nothing to visit and nothing to print.
