Worth knowing
Rules that come up in this work
Employer National Insurance
Employers pay National Insurance at 15% on each employee's earnings above the £5,000 secondary threshold, following the April 2025 changes. The Employment Allowance offsets up to £10,500 of this for eligible employers, which for a small team often removes the liability entirely, but companies where the director is the only employee do not qualify.
Workplace pensions and auto-enrolment
Every employer must assess its workers for automatic enrolment from the first employee's start date. Those aged 22 to State Pension age earning over £10,000 a year must be enrolled into a qualifying pension with minimum contributions of 8% of qualifying earnings, at least 3% from the employer, and a declaration of compliance made to the Pensions Regulator within five months.
Confirmation statements and identity verification
Every company must file a confirmation statement at least once a year, within fourteen days of its review date, with a £50 Companies House fee. Since November 2025 directors and people with significant control must also verify their identity with Companies House, and the confirmation statement is where existing officers confirm they have done so during the transition year.
CIS deductions
The Construction Industry Scheme affects both sides of a construction payment. Contractors must verify subcontractors, deduct the right amount, issue statements and file monthly, with penalties from £100 for each late return. Subcontractors suffer deductions on turnover and recover the excess at the year end. Limited company subcontractors offset deductions against PAYE monthly instead.
The Self Assessment calendar
The tax year runs from 6 April to 5 April. Anyone new to Self Assessment must register by 5 October after the end of the tax year in which their untaxed income began. The online return and the balancing payment are due by 31 January, with a second payment on account on 31 July where they apply. Paper returns have an earlier deadline of 31 October and are rarely sensible.
Payments on account
If your Self Assessment bill exceeds £1,000 and less than 80% of your tax was collected at source, HMRC asks for two advance payments towards the following year, each half of the current bill, due 31 January and 31 July. The first year this happens the January payment is effectively one and a half times the bill. We model it in advance and show you how to reduce the payments if income is falling.
Late filing penalties
Lateness is expensive in a way that compounds. For individuals, £100 immediately, then daily penalties, then percentage-based ones at six and twelve months, with interest running on unpaid tax throughout. For companies, Companies House penalties scale with delay and double on repeat, and HMRC adds its own for a late CT600. Filing on time is the cheapest tax planning there is.
Questions
E-commerce Accountants questions from Glenrothes
Do I need to register for VAT if the marketplace collects it?
Marketplace-collected VAT does not count towards your registration threshold, but your other sales do. Many sellers have a mix and cross the £90,000 threshold without realising. We monitor your rolling 12-month taxable turnover monthly and tell you when registration is approaching.
Should I trade as a sole trader or a company?
Many sellers start as sole traders and incorporate as profits grow. A company protects personal assets from supplier and platform disputes, and can be more tax efficient at higher profits, but adds compliance. Marketplaces also treat business accounts differently. We run the comparison for your numbers.
What is in the £79 single-channel package?
Monthly bookkeeping reconciled to one marketplace or store's reports, software integration, and the annual accounts and tax return (Corporation Tax for a company or Self Assessment for a sole trader). It is for sellers under the £90,000 VAT threshold; once VAT registration is needed the £129 package applies.
Why does e-commerce bookkeeping cost more than ordinary bookkeeping?
Because a single payout from a marketplace bundles hundreds of sales, fees, refunds, advertising charges and reserves, and each has a different VAT treatment. Reconciling the payout to the underlying report is the job. Our fee is fixed by channels and VAT status rather than by transaction count for exactly this reason.
Who accounts for VAT on marketplace sales?
For goods sold to UK consumers through an online marketplace, the marketplace accounts for the VAT if the seller is overseas or the goods are imported in consignments up to £135. A UK seller selling UK-held goods to UK customers accounts for their own VAT. Mixed situations are common and we separate them on every return.
How are imports treated?
Import VAT is charged when goods enter the UK and can be reclaimed as input VAT if you are registered, using postponed VAT accounting so nothing is paid at the border. Customs duty depends on the goods and origin and is a cost, not reclaimable. We make sure the C79 or postponed accounting statements are matched to the return.
