Why IGI

What you get in Edenside

No hourly rate and no surprise invoice. Edenside clients know the fee for payroll before they send a single document, and it stays fixed.

Deadline-first: the dates that matter for payroll are shown at the top of this page, diarised for every Edenside client and chased before they arrive.

Online only, UK based. There is no office in Edenside to pay for, which is why the fee is the same here as anywhere in Scotland; the work is done by people in the UK who answer the same day.

You get one contact for payroll, not a queue. Edenside clients message the same person throughout and get an answer in working hours, usually within a few hours.

We explain payroll in the words Edenside business owners use, not in accountant's shorthand, and we show our working so you can check it.

You stay in control of payroll: drafts go to Edenside clients first, with the figures explained, and nothing leaves us until you say so.

Local facts

About Edenside

Edenside is in Scotland, Scotland. Tax in Scotland differs from the rest of the UK on earned income: six bands with a 21% intermediate rate and a 48% top rate, identified by an S prefix on the tax code. The interaction between Scottish rates on salary and UK rates on dividends makes the salary-and-dividend split for Scottish directors a distinct calculation, and Land and Buildings Transaction Tax replaces Stamp Duty.

Worth knowing

Rules that come up in this work

Closing a company

A solvent company that has finished its purpose can be dissolved by voluntary strike-off: form DS01 with a £13 Companies House fee, after three months without trading and with all debts paid, final accounts and tax return filed, and assets distributed. HMRC objects to any application where returns or tax are outstanding, so the sequence matters more than the form.

Switching accountants

You can switch accountant at any point in the year. The new firm requests clearance and your records from the old one, which cannot withhold your own documents though it may hold its own working papers until its fees are settled. Agent authorisations with HMRC and Companies House are transferred, and the next deadline is picked up without a gap.

The 60-day property CGT return

The 60-day Capital Gains Tax return on residential property is the deadline landlords most often miss, because it falls outside the Self Assessment cycle and runs from completion, not exchange. Private residence relief for periods you lived in the property, plus the final nine months, reduces the gain. Penalties for a late return mirror Self Assessment, starting at £100.

Crypto records and reporting

Crypto tax splits into capital gains on disposals and income on rewards, with different rates and different reporting. The £3,000 annual exempt amount and the 18% and 24% rates apply to gains; staking, mining and airdrop income is taxed at marginal income tax rates. HMRC's nudge letters to holders have increased sharply, and a voluntary disclosure before one arrives is treated far more leniently.

Allowable expenses

An expense is allowable against trading profit if it is incurred wholly and exclusively for the business. Materials, business travel other than ordinary commuting, a proportion of home running costs, software, insurance, professional fees, bank charges and protective clothing qualify. Client entertainment, ordinary clothing, fines and the private share of mixed-use costs do not.

Record keeping

Record keeping is a legal obligation with a penalty of up to £3,000 for failure, but its real value is in making every other filing cheaper and more defensible. Keep invoices, receipts, bank statements, mileage logs and any HMRC correspondence, digitally if you like, for five years after the relevant filing deadline for individuals and six years for companies and VAT.

Workplace pensions and auto-enrolment

Workplace pension compliance is part of payroll, not separate from it. Each pay period the payroll assesses who is eligible, calculates employer and employee contributions on qualifying earnings between the lower and upper thresholds, and sends the contribution file to the scheme. The minimum total is 8%, and many employers choose to contribute more as a recruitment advantage.

Questions

Payroll questions from Edenside

Can you take over mid-year from another provider or software?

Yes. We need the year-to-date figures for each employee, the last submissions to HMRC and the pension scheme details. The transfer is included in the fee and the first pay run under us reconciles to the previous provider's figures so HMRC sees no gap.

When is PAYE paid to HMRC?

By the 22nd of the following month if paying electronically, or the 19th by post. Employers whose average monthly liability is under £1,500 can pay quarterly. We send a payment note each month with the amount, HMRC's account details and your reference ending in the correct period number.

What is RTI and when do submissions have to go in?

Real Time Information is HMRC's system for reporting pay and deductions as they happen. A Full Payment Submission must reach HMRC on or before each pay day. Late or missing submissions earn monthly penalties from £100 for small employers. We file on the pay date every time you confirm the figures.

How is the fee set for a team?

By headcount: up to 5 employees is £45 a month and up to 10 is £69 a month, whatever the pay frequency. Weekly, fortnightly and monthly payrolls cost the same. Over 10 employees we quote a fixed fee per month based on numbers and complexity before starting.

What does the £25 director-only payroll include?

Monthly payroll for one director: the payslip, the RTI submission to HMRC, the calculation of any PAYE and National Insurance due, year-end P60 and final submission. It is designed for directors taking a salary around the National Insurance thresholds alongside dividends.

Do you provide payslips and P60s?

Yes. Electronic payslips go to each employee every pay period through a secure portal or by email as you prefer. P60s for everyone employed at 5 April are issued by 31 May. If you provide benefits such as a company car or private medical cover, P11Ds are prepared and filed by 6 July.

How do I get started from Edenside?

Message us on WhatsApp or email with a sentence about your business and what you need. We reply in working hours with any questions and a fixed fee for payroll. Once you confirm, we tell you exactly which records to send and the work begins. Most Edenside clients are set up within a day.

Which deadlines matter most for payroll?

The next four dates that apply to payroll are shown at the top of this page, calculated from today. For Edenside clients we diarise every one of them from the day you join and send reminders before each, so the work is done in good time rather than in the last week before a penalty.
