Local facts
About Earlais
Earlais is in Scotland, Scotland. Tax in Scotland differs from the rest of the UK on earned income: six bands with a 21% intermediate rate and a 48% top rate, identified by an S prefix on the tax code. The interaction between Scottish rates on salary and UK rates on dividends makes the salary-and-dividend split for Scottish directors a distinct calculation, and Land and Buildings Transaction Tax replaces Stamp Duty.

Worth knowing
Rules that come up in this work
Dormant companies
A dormant company is one with no significant accounting transactions in the year, where the only permitted entries are the payment for shares on incorporation, Companies House fees and penalties. It still files a confirmation statement and simplified dormant accounts every year. A bank charge or an accountant's fee paid from the company ends dormancy and requires full accounts.
Workplace pensions and auto-enrolment
Auto-enrolment duties begin the day you take on your first employee, not when the Pensions Regulator writes to you. Eligible staff must be enrolled, contributions paid every pay period and re-enrolment carried out every three years. Director-only companies without employment contracts are usually exempt. Fines for non-compliance are fixed and escalating.
Employer National Insurance
Since April 2025 employer National Insurance has been 15% on earnings above a £5,000 secondary threshold, a substantial increase for small employers. The Employment Allowance rose to £10,500 at the same time to soften it for the smallest businesses. Directors deciding their own salary weigh this cost against the Corporation Tax deduction a salary provides.
Allowable expenses
The expenses sole traders most often miss are home working costs, claimed by actual proportion or HMRC's flat rate, the business share of phone and internet, mileage at 45p for the first 10,000 business miles, and training that maintains existing skills. The ones most often claimed wrongly are commuting, entertaining customers and clothes that could be worn outside work.
Record keeping
Record keeping is a legal obligation with a penalty of up to £3,000 for failure, but its real value is in making every other filing cheaper and more defensible. Keep invoices, receipts, bank statements, mileage logs and any HMRC correspondence, digitally if you like, for five years after the relevant filing deadline for individuals and six years for companies and VAT.
The 60-day property CGT return
Since April 2020 a gain on UK residential property must be reported and the tax paid within 60 days of completion through HMRC's dedicated service, separately from the annual return. Non-residents must report all UK land disposals in the same window whether or not tax is due. Getting the computation right first time matters because the figure is then carried into the Self Assessment.
Crypto records and reporting
HMRC treats cryptoassets as property. Swapping one token for another, spending crypto or gifting it are all disposals for Capital Gains Tax, and staking and lending rewards are income. Gains are computed under pooling rules with same-day and 30-day matching. From 2026 HMRC receives data from exchanges worldwide under the Cryptoasset Reporting Framework, so unreported activity is increasingly visible.
Questions
Sole Trader Accounts questions from Earlais
Can you deal with my previous accountant?
Yes. Once you authorise us we write for professional clearance and your records, including the previous year's accounts and capital allowance pools, which we need for continuity. Most firms respond within two weeks and nothing about switching changes our fee.
What if HMRC checks my return?
HMRC can enquire into a return within twelve months of filing, and longer if something was omitted. Well-prepared accounts with organised records are the best protection. If an enquiry opens, routine correspondence about a return we filed is handled free, and formal enquiries go through our fixed-fee investigation service.
Should I become a limited company?
It depends on profit level, how much you need to draw, liability exposure and whether you want to retain profits. At modest profits the saving is small after the extra compliance cost; at higher profits incorporation can help. Our free comparison tool gives a first view and the tax planning review gives a definitive one.
I started trading part-way through the year. What is my first accounting period?
Since the basis period reform, sole traders are taxed on profits of the tax year, 6 April to 5 April, regardless of accounting date. A first period runs from your start date to 5 April. If you prefer a different accounting date we apportion the profits, but for most new traders a 5 April year end is simplest.
What National Insurance do sole traders pay?
Class 4 at 6% on profits between £12,570 and £50,270 and 2% above that, collected through Self Assessment. Class 2 is no longer compulsory; profits above £7,105 earn National Insurance credits automatically, and below that you can pay Class 2 voluntarily at £3.65 a week to protect your State Pension record.
How are vehicles treated?
You can claim actual running costs with a business-use percentage plus capital allowances on the vehicle, or HMRC's simplified mileage rate of 45p a mile for the first 10,000 business miles and 25p after that. Once you choose a method for a vehicle you keep it. We compare both for your mileage and show the difference.
Is sole trader accounts in Earlais really the same price as elsewhere?
Yes. The fee published on this page is what a client in Earlais pays and what a client in any other part of Scotland pays. It is confirmed in writing before work starts and the invoice matches the quote. Where a higher package applies because your situation is more complex, we say so at the quote stage, never afterwards.
Do you have an office in Earlais?
No. IGI Accounting is an online-only firm. We serve Earlais and every other UK postcode remotely, with records sent by WhatsApp or email and everything filed electronically. The absence of local premises is why the fee for sole trader accounts is the same in Earlais as anywhere else in the country, and why there is nothing to visit and nothing to print.
