About Douglas West

Douglas West is in Scotland, Scotland. Tax in Scotland differs from the rest of the UK on earned income: six bands with a 21% intermediate rate and a 48% top rate, identified by an S prefix on the tax code. The interaction between Scottish rates on salary and UK rates on dividends makes the salary-and-dividend split for Scottish directors a distinct calculation, and Land and Buildings Transaction Tax replaces Stamp Duty.

Worth knowing

Rules that come up in this work

Closing a company

Voluntary strike-off is available only to solvent companies. One that owes money it cannot pay needs a creditors' voluntary liquidation through a licensed insolvency practitioner, and directors who dissolve an insolvent company face personal consequences. For a solvent company the process takes three to four months from filing the DS01, with notice to creditors and shareholders within seven days.

Switching accountants

The main reasons people switch accountant are surprise invoices, missed deadlines and not understanding what they are being told. Switching involves a clearance letter between the firms, a transfer of records and agent authorisations, and a short handover of the current position. It takes about two weeks and should cost nothing extra.

Allowable expenses

An expense is allowable against trading profit if it is incurred wholly and exclusively for the business. Materials, business travel other than ordinary commuting, a proportion of home running costs, software, insurance, professional fees, bank charges and protective clothing qualify. Client entertainment, ordinary clothing, fines and the private share of mixed-use costs do not.

Record keeping

Record keeping is a legal obligation with a penalty of up to £3,000 for failure, but its real value is in making every other filing cheaper and more defensible. Keep invoices, receipts, bank statements, mileage logs and any HMRC correspondence, digitally if you like, for five years after the relevant filing deadline for individuals and six years for companies and VAT.

The 60-day property CGT return

The 60-day Capital Gains Tax return on residential property is the deadline landlords most often miss, because it falls outside the Self Assessment cycle and runs from completion, not exchange. Private residence relief for periods you lived in the property, plus the final nine months, reduces the gain. Penalties for a late return mirror Self Assessment, starting at £100.

Crypto records and reporting

Most crypto holders have taxable events they do not recognise, because every swap is a disposal even when no pounds change hands. The computation requires the complete transaction history from every exchange and wallet, pooled by asset with HMRC's matching rules applied. Exchange-generated tax reports are frequently wrong because they cannot see transfers between a user's own wallets.

The trading and property allowances

Not every small income needs a tax return. The trading allowance exempts the first £1,000 of self-employment or casual income and the property allowance does the same for rental income, each measured on gross receipts. They cannot be combined with rent-a-room relief on the same income, and claiming the allowance means giving up the expense deduction for that source.

Questions

Sole Trader Accounts questions from Douglas West

Should I become a limited company?

It depends on profit level, how much you need to draw, liability exposure and whether you want to retain profits. At modest profits the saving is small after the extra compliance cost; at higher profits incorporation can help. Our free comparison tool gives a first view and the tax planning review gives a definitive one.

I started trading part-way through the year. What is my first accounting period?

Since the basis period reform, sole traders are taxed on profits of the tax year, 6 April to 5 April, regardless of accounting date. A first period runs from your start date to 5 April. If you prefer a different accounting date we apportion the profits, but for most new traders a 5 April year end is simplest.

Do I need accounts as well as a tax return?

HMRC requires a profit figure on the self-employment pages, and the accounts are how that figure is produced and supported. Very small businesses can complete the three-line account on the return, but once turnover is meaningful, proper accounts protect you in an enquiry and show you how the business is actually doing. The £229 bundle includes both.

What is the difference between the £149 and £249 fees?

The £149 fee applies when your records are already organised: bookkeeping software, a spreadsheet that reconciles to the bank, or our own monthly bookkeeping. The £249 fee covers rebuilding the year from bank statements and loose receipts. We look at what you have before quoting so the fee is fixed from the start.

What can I claim for working from home?

Either a proportion of actual household costs based on rooms and hours, or HMRC's simplified flat rate of £10 to £26 a month depending on hours worked at home. We calculate both and claim the higher. Mortgage interest, rent, council tax, utilities and insurance can all form part of the actual-cost method.

Cash basis or accruals: which should I use?

Since April 2024 the cash basis is the default for sole traders and has no turnover limit; you record income when received and expenses when paid. Accruals matches income and costs to the period they relate to and suits businesses with stock, large debtors or losses to carry. We recommend one based on your figures and explain why.

Is sole trader accounts in Douglas West really the same price as elsewhere?

Yes. The fee published on this page is what a client in Douglas West pays and what a client in any other part of Scotland pays. It is confirmed in writing before work starts and the invoice matches the quote. Where a higher package applies because your situation is more complex, we say so at the quote stage, never afterwards.

Do you have an office in Douglas West?

No. IGI Accounting is an online-only firm. We serve Douglas West and every other UK postcode remotely, with records sent by WhatsApp or email and everything filed electronically. The absence of local premises is why the fee for sole trader accounts is the same in Douglas West as anywhere else in the country, and why there is nothing to visit and nothing to print.
