How it works

Bookkeeping from Cynheidre, step by step

  1. Tell us your situation

A short message or call about what you do and what needs filing. We ask the questions that determine the right package and nothing more.

  2. Fixed fee in writing

You receive one price for the work, confirmed by email before anything starts. It does not change if the job takes longer than we expected.

  3. Send records, review the draft

Records come by WhatsApp or email. We prepare the draft, explain the figures in plain English and answer your questions.

  4. We file, you get the receipts

Once you approve and the fee is settled, we submit electronically and forward the HMRC or Companies House acknowledgement the same day.

Why IGI

Why Cynheidre businesses file with IGI

No hourly rate and no surprise invoice. Cynheidre clients know the fee for bookkeeping before they send a single document, and it stays fixed.

We work to the HMRC and Companies House calendar, not an appointment diary. Clients in Cynheidre get reminders at 60, 30 and 7 days before each date that applies to bookkeeping.

Online only, UK based. There is no office in Cynheidre to pay for, which is why the fee is the same here as anywhere in Wales; the work is done by people in the UK who answer the same day.

Continuity matters in bookkeeping: the person who prepared last year's work for your Cynheidre business prepares this year's, and remembers what was agreed.

We explain bookkeeping in the words Cynheidre business owners use, not in accountant's shorthand, and we show our working so you can check it.

Nothing is filed for Cynheidre until you have reviewed and approved it. You see the draft, you ask questions, you sign off, then we submit and send you the receipt.

Local facts

About Cynheidre

Cynheidre is in Wales, Wales. Welsh taxpayers pay Welsh rates of income tax, set by the Senedd and currently matching the English bands, collected under a C-prefixed tax code. National Insurance, VAT and Corporation Tax are UK-wide. Property purchases in Wales pay Land Transaction Tax to the Welsh Revenue Authority rather than Stamp Duty, with its own bands and rates.

Worth knowing

Rules that come up in this work

Confirmation statements and identity verification

Every company must file a confirmation statement at least once a year, within fourteen days of its review date, with a £50 Companies House fee. Since November 2025 directors and people with significant control must also verify their identity with Companies House, and the confirmation statement is where existing officers confirm they have done so during the transition year.

CIS deductions

CIS turns construction subcontractors into advance taxpayers: a fifth of every labour payment goes to HMRC before they see it. Registering keeps the rate at 20% rather than 30%; gross payment status, for established businesses with a clean record, removes deductions altogether. The annual return is where the overpayment comes back, and filing it early brings the refund sooner.

The Self Assessment calendar

Self Assessment runs on a fixed annual cycle. Registration by 5 October following the tax year, online filing and payment by 31 January, and a second instalment on 31 July for those making payments on account. The penalties for lateness are automatic and escalate monthly, which is why we file early and chase approvals well before the window closes.

Payments on account

A common surprise in Self Assessment is the January payment that is far larger than expected. That is the balancing payment for the year just ended plus the first payment on account for the year ahead, which HMRC sets at half of the bill just calculated. We put the figure in your hands months ahead and tell you how to adjust it legitimately when circumstances change.

Late filing penalties

HMRC's penalties for a late Self Assessment return are automatic: £100 the day after 31 January, £10 a day from three months late up to £900, then the greater of £300 or 5% of the tax at six and twelve months. Interest and separate late-payment penalties apply to the tax itself. Companies House charges £150 to £1,500 for late accounts, doubling for a second consecutive year.

Making Tax Digital for Income Tax

The biggest change to Self Assessment in a generation is Making Tax Digital for Income Tax, now live for higher-earning sole traders and landlords and arriving for the rest in stages. Quarterly updates are due by 7 August, 7 November, 7 February and 7 May, built from digital records. The practical consequence is that spreadsheet-and-shoebox bookkeeping is ending for anyone above the threshold.

The VAT registration threshold

Watching the rolling twelve-month turnover figure is one of the quiet jobs of monthly bookkeeping, because the £90,000 VAT threshold arrives silently. Crossing it brings quarterly returns, Making Tax Digital software and a decision about schemes. Crossing it late brings a bill for VAT you could not recover from customers and a penalty for failing to notify.

Questions

Bookkeeping questions from Cynheidre

Can my existing accountant still do the year end?

Yes. Many clients use us for bookkeeping and another firm for accounts. At year end we hand over a reconciled file with the trial balance, bank reconciliations and supporting documents, in whatever format your accountant prefers.

How quickly are the books up to date?

Bank feeds update daily. We reconcile within five working days of the month end once your receipts are in, so the monthly summary arrives in the first week of the following month. Queries are sent in one message rather than piecemeal.

How do you count transactions for the fee?

Every line on your business bank and card statements for the month, including payments in and out. Transfers between your own accounts are excluded. Up to 50 lines is £49 a month, up to 150 is £89, up to 300 is £149. We check the count from your statements before quoting so the band is right from the start.

Which software do you use and who pays for it?

We work in the main cloud platforms that are compatible with Making Tax Digital and set up the one that suits your business. The subscription is in your name and billed to you by the software company, typically £15 to £35 a month, so you own the data and can leave at any time with your records intact.

What do I have to do each month?

Forward or photograph receipts and supplier bills as they arrive, and answer one batch of queries from us about transactions we cannot identify. Most clients spend under an hour a month. Sales invoices can be raised in the software by you or by us.

Is bookkeeping the same as accounts?

No. Bookkeeping is the ongoing recording and reconciling of transactions. Accounts and tax returns are the year-end filings built from those records. Clean bookkeeping makes the year-end work faster and cheaper, which is why our sole trader accounts fee from tidy records is £149 and from a shoebox is £249.

Which deadlines matter most for bookkeeping?

The next four dates that apply to bookkeeping are shown at the top of this page, calculated from today. For Cynheidre clients we diarise every one of them from the day you join and send reminders before each, so the work is done in good time rather than in the last week before a penalty.

How do I get started from Cynheidre?

Message us on WhatsApp or email with a sentence about your business and what you need. We reply in working hours with any questions and a fixed fee for bookkeeping. Once you confirm, we tell you exactly which records to send and the work begins. Most Cynheidre clients are set up within a day.
