How it works

Payroll from Claonaig, step by step

  1. Tell us your situation

A short message or call about what you do and what needs filing. We ask the questions that determine the right package and nothing more.

  2. Fixed fee in writing

You receive one price for the work, confirmed by email before anything starts. It does not change if the job takes longer than we expected.

  3. Send records, review the draft

Records come by WhatsApp or email. We prepare the draft, explain the figures in plain English and answer your questions.

  4. We file, you get the receipts

Once you approve and the fee is settled, we submit electronically and forward the HMRC or Companies House acknowledgement the same day.

Why IGI

The IGI way of working, in Claonaig

No hourly rate and no surprise invoice. Claonaig clients know the fee for payroll before they send a single document, and it stays fixed.

We work to the HMRC and Companies House calendar, not an appointment diary. Clients in Claonaig get reminders at 60, 30 and 7 days before each date that applies to payroll.

Online only, UK based. There is no office in Claonaig to pay for, which is why the fee is the same here as anywhere in Scotland; the work is done by people in the UK who answer the same day.

Continuity matters in payroll: the person who prepared last year's work for your Claonaig business prepares this year's, and remembers what was agreed.

Plain English, with the numbers. Every draft for Claonaig comes with a short explanation of what the figures mean and what, if anything, you should do about them.

You stay in control of payroll: drafts go to Claonaig clients first, with the figures explained, and nothing leaves us until you say so.

Worth knowing

Rules that come up in this work

Switching accountants

The main reasons people switch accountant are surprise invoices, missed deadlines and not understanding what they are being told. Switching involves a clearance letter between the firms, a transfer of records and agent authorisations, and a short handover of the current position. It takes about two weeks and should cost nothing extra.

Closing a company

Striking off a company is cheap but must be done in order: stop trading, file the final accounts and CT600, pay the tax, close VAT and PAYE, distribute the remaining assets, close the bank account, then apply. Anything left in the company at dissolution passes to the Crown. Distributions up to £25,000 are taxed as capital gains; above that a formal liquidation is usually needed to keep capital treatment.

Dormant companies

Companies formed to protect a name or hold a future business are dormant but not exempt: Companies House still expects dormant accounts within nine months of the year end and a confirmation statement annually with its £50 fee, and HMRC must be told the company is dormant or it will demand Corporation Tax returns. The filings are short, but the penalties for missing them are the same as for a trading company.

The trading and property allowances

Not every small income needs a tax return. The trading allowance exempts the first £1,000 of self-employment or casual income and the property allowance does the same for rental income, each measured on gross receipts. They cannot be combined with rent-a-room relief on the same income, and claiming the allowance means giving up the expense deduction for that source.

Employer National Insurance

The cost of an employee is more than the salary. Employer National Insurance at 15% above £5,000 a year, the 3% minimum pension contribution, holiday pay, equipment and management time all come on top. The Employment Allowance of £10,500 reduces the National Insurance for most employers with more than one person on the payroll.

Workplace pensions and auto-enrolment

Auto-enrolment duties begin the day you take on your first employee, not when the Pensions Regulator writes to you. Eligible staff must be enrolled, contributions paid every pay period and re-enrolment carried out every three years. Director-only companies without employment contracts are usually exempt. Fines for non-compliance are fixed and escalating.

Record keeping

Record keeping is a legal obligation with a penalty of up to £3,000 for failure, but its real value is in making every other filing cheaper and more defensible. Keep invoices, receipts, bank statements, mileage logs and any HMRC correspondence, digitally if you like, for five years after the relevant filing deadline for individuals and six years for companies and VAT.

Questions

Payroll questions from Claonaig

What is RTI and when do submissions have to go in?

Real Time Information is HMRC's system for reporting pay and deductions as they happen. A Full Payment Submission must reach HMRC on or before each pay day. Late or missing submissions earn monthly penalties from £100 for small employers. We file on the pay date every time you confirm the figures.

When is PAYE paid to HMRC?

By the 22nd of the following month if paying electronically, or the 19th by post. Employers whose average monthly liability is under £1,500 can pay quarterly. We send a payment note each month with the amount, HMRC's account details and your reference ending in the correct period number.

What is the Employment Allowance?

Eligible employers can reduce their employer National Insurance bill by up to £10,500 a year (2026/27). Single-director companies with no other employees do not qualify. We claim it on your behalf where you are eligible, which for a small team often wipes out the employer NI entirely.

Do you provide payslips and P60s?

Yes. Electronic payslips go to each employee every pay period through a secure portal or by email as you prefer. P60s for everyone employed at 5 April are issued by 31 May. If you provide benefits such as a company car or private medical cover, P11Ds are prepared and filed by 6 July.

Can you take over mid-year from another provider or software?

Yes. We need the year-to-date figures for each employee, the last submissions to HMRC and the pension scheme details. The transfer is included in the fee and the first pay run under us reconciles to the previous provider's figures so HMRC sees no gap.

I am taking on my first employee. What do I need?

A PAYE employer registration with HMRC (our £49 service, or £99 with the first payroll run set up), a workplace pension scheme, employer's liability insurance, a written statement of employment terms and right-to-work checks. We handle the first two and tell you plainly what to do about the rest.

Which deadlines matter most for payroll?

The next four dates that apply to payroll are shown at the top of this page, calculated from today. For Claonaig clients we diarise every one of them from the day you join and send reminders before each, so the work is done in good time rather than in the last week before a penalty.

How do I get started from Claonaig?

Message us on WhatsApp or email with a sentence about your business and what you need. We reply in working hours with any questions and a fixed fee for payroll. Once you confirm, we tell you exactly which records to send and the work begins. Most Claonaig clients are set up within a day.
