Why IGI

What you get in Churchhill

No hourly rate and no surprise invoice. Churchhill clients know the fee for bookkeeping before they send a single document, and it stays fixed.

Deadline-first: the dates that matter for bookkeeping are shown at the top of this page, diarised for every Churchhill client and chased before they arrive.

Online only, UK based. There is no office in Churchhill to pay for, which is why the fee is the same here as anywhere in Scotland; the work is done by people in the UK who answer the same day.

You get one contact for bookkeeping, not a queue. Churchhill clients message the same person throughout and get an answer in working hours, usually within a few hours.

Plain English, with the numbers. Every draft for Churchhill comes with a short explanation of what the figures mean and what, if anything, you should do about them.

Approval before filing is a rule, not a courtesy. For bookkeeping in Churchhill, every submission to HMRC or Companies House follows your written go-ahead.

Local facts

About Churchhill

Churchhill is in Scotland, Scotland. Tax in Scotland differs from the rest of the UK on earned income: six bands with a 21% intermediate rate and a 48% top rate, identified by an S prefix on the tax code. The interaction between Scottish rates on salary and UK rates on dividends makes the salary-and-dividend split for Scottish directors a distinct calculation, and Land and Buildings Transaction Tax replaces Stamp Duty.

Worth knowing

Rules that come up in this work

Corporation Tax rates and marginal relief

Companies pay Corporation Tax at 19% on profits up to £50,000 and 25% on profits over £250,000. Between those figures marginal relief applies, producing an effective rate that rises gradually and a marginal rate of 26.5% on each pound in the band. The thresholds are divided by the number of associated companies, so a director with two companies has thresholds of £25,000 and £125,000 for each.

The VAT registration threshold

The £90,000 VAT threshold is measured over any twelve consecutive months, which is why a strong quarter can tip a business over unexpectedly. Registration must follow within thirty days of the end of the month the threshold was crossed. Below the threshold, voluntary registration is worth considering when customers are VAT-registered businesses and costs carry VAT.

Director's loan accounts

A director's loan account records money moving between a director and the company that is not salary or dividend. If the director owes the company money nine months and one day after the year end, the company pays section 455 tax at 35.75% of the balance, refundable only when the loan is repaid. Loans over £10,000 are also a benefit in kind unless interest is charged at HMRC's official rate.

Salary versus dividends

The salary-and-dividend split is the central planning decision for an owner-managed company. Salary costs employer National Insurance above £5,000 but is deductible; dividends are not deductible but attract lower personal rates and no National Insurance. The optimum changes each April with the thresholds and depends on the director's other income, so it should be set deliberately every year.

Payments on account

If your Self Assessment bill exceeds £1,000 and less than 80% of your tax was collected at source, HMRC asks for two advance payments towards the following year, each half of the current bill, due 31 January and 31 July. The first year this happens the January payment is effectively one and a half times the bill. We model it in advance and show you how to reduce the payments if income is falling.

The Self Assessment calendar

Self Assessment runs on a fixed annual cycle. Registration by 5 October following the tax year, online filing and payment by 31 January, and a second instalment on 31 July for those making payments on account. The penalties for lateness are automatic and escalate monthly, which is why we file early and chase approvals well before the window closes.

Making Tax Digital for Income Tax

The biggest change to Self Assessment in a generation is Making Tax Digital for Income Tax, now live for higher-earning sole traders and landlords and arriving for the rest in stages. Quarterly updates are due by 7 August, 7 November, 7 February and 7 May, built from digital records. The practical consequence is that spreadsheet-and-shoebox bookkeeping is ending for anyone above the threshold.

Questions

Bookkeeping questions from Churchhill

How quickly are the books up to date?

Bank feeds update daily. We reconcile within five working days of the month end once your receipts are in, so the monthly summary arrives in the first week of the following month. Queries are sent in one message rather than piecemeal.

Can my existing accountant still do the year end?

Yes. Many clients use us for bookkeeping and another firm for accounts. At year end we hand over a reconciled file with the trial balance, bank reconciliations and supporting documents, in whatever format your accountant prefers.

Is bookkeeping the same as accounts?

No. Bookkeeping is the ongoing recording and reconciling of transactions. Accounts and tax returns are the year-end filings built from those records. Clean bookkeeping makes the year-end work faster and cheaper, which is why our sole trader accounts fee from tidy records is £149 and from a shoebox is £249.

What do I have to do each month?

Forward or photograph receipts and supplier bills as they arrive, and answer one batch of queries from us about transactions we cannot identify. Most clients spend under an hour a month. Sales invoices can be raised in the software by you or by us.

Which software do you use and who pays for it?

We work in the main cloud platforms that are compatible with Making Tax Digital and set up the one that suits your business. The subscription is in your name and billed to you by the software company, typically £15 to £35 a month, so you own the data and can leave at any time with your records intact.

How do you count transactions for the fee?

Every line on your business bank and card statements for the month, including payments in and out. Transfers between your own accounts are excluded. Up to 50 lines is £49 a month, up to 150 is £89, up to 300 is £149. We check the count from your statements before quoting so the band is right from the start.

How do I get started from Churchhill?

Message us on WhatsApp or email with a sentence about your business and what you need. We reply in working hours with any questions and a fixed fee for bookkeeping. Once you confirm, we tell you exactly which records to send and the work begins. Most Churchhill clients are set up within a day.

Which deadlines matter most for bookkeeping?

The next four dates that apply to bookkeeping are shown at the top of this page, calculated from today. For Churchhill clients we diarise every one of them from the day you join and send reminders before each, so the work is done in good time rather than in the last week before a penalty.
