Why IGI

What you get in Castlecary

One fixed fee for payroll in Castlecary, agreed in writing before any work starts and never changed part-way through the job, however long it takes us.

We work to the HMRC and Companies House calendar, not an appointment diary. Clients in Castlecary get reminders at 60, 30 and 7 days before each date that applies to payroll.

We serve Castlecary remotely by design: records by WhatsApp or email, drafts back for approval, filing electronic. The saving on premises is passed to you in the fee for payroll.

Continuity matters in payroll: the person who prepared last year's work for your Castlecary business prepares this year's, and remembers what was agreed.

The output for Castlecary clients is never just a form. It is the form, a one-page summary of what it says, and a note of the decisions it points to for payroll.

Nothing is filed for Castlecary until you have reviewed and approved it. You see the draft, you ask questions, you sign off, then we submit and send you the receipt.

Local facts

About Castlecary

Castlecary is in Scotland, Scotland. Tax in Scotland differs from the rest of the UK on earned income: six bands with a 21% intermediate rate and a 48% top rate, identified by an S prefix on the tax code. The interaction between Scottish rates on salary and UK rates on dividends makes the salary-and-dividend split for Scottish directors a distinct calculation, and Land and Buildings Transaction Tax replaces Stamp Duty.

Worth knowing

Rules that come up in this work

The 60-day property CGT return

The 60-day Capital Gains Tax return on residential property is the deadline landlords most often miss, because it falls outside the Self Assessment cycle and runs from completion, not exchange. Private residence relief for periods you lived in the property, plus the final nine months, reduces the gain. Penalties for a late return mirror Self Assessment, starting at £100.

Crypto records and reporting

HMRC treats cryptoassets as property. Swapping one token for another, spending crypto or gifting it are all disposals for Capital Gains Tax, and staking and lending rewards are income. Gains are computed under pooling rules with same-day and 30-day matching. From 2026 HMRC receives data from exchanges worldwide under the Cryptoasset Reporting Framework, so unreported activity is increasingly visible.

Allowable expenses

An expense is allowable against trading profit if it is incurred wholly and exclusively for the business. Materials, business travel other than ordinary commuting, a proportion of home running costs, software, insurance, professional fees, bank charges and protective clothing qualify. Client entertainment, ordinary clothing, fines and the private share of mixed-use costs do not.

Record keeping

Record keeping is a legal obligation with a penalty of up to £3,000 for failure, but its real value is in making every other filing cheaper and more defensible. Keep invoices, receipts, bank statements, mileage logs and any HMRC correspondence, digitally if you like, for five years after the relevant filing deadline for individuals and six years for companies and VAT.

Workplace pensions and auto-enrolment

Auto-enrolment duties begin the day you take on your first employee, not when the Pensions Regulator writes to you. Eligible staff must be enrolled, contributions paid every pay period and re-enrolment carried out every three years. Director-only companies without employment contracts are usually exempt. Fines for non-compliance are fixed and escalating.

Employer National Insurance

Since April 2025 employer National Insurance has been 15% on earnings above a £5,000 secondary threshold, a substantial increase for small employers. The Employment Allowance rose to £10,500 at the same time to soften it for the smallest businesses. Directors deciding their own salary weigh this cost against the Corporation Tax deduction a salary provides.

The trading and property allowances

The first £1,000 of trading income and, separately, the first £1,000 of property income each year is tax free under the trading and property allowances. Below those figures no return is needed for that income. Above them you can deduct the £1,000 allowance instead of actual expenses if that is better, which suits side businesses and single-room lets with few costs.

Questions

Payroll questions from Castlecary

I am taking on my first employee. What do I need?

A PAYE employer registration with HMRC (our £49 service, or £99 with the first payroll run set up), a workplace pension scheme, employer's liability insurance, a written statement of employment terms and right-to-work checks. We handle the first two and tell you plainly what to do about the rest.

Can you take over mid-year from another provider or software?

Yes. We need the year-to-date figures for each employee, the last submissions to HMRC and the pension scheme details. The transfer is included in the fee and the first pay run under us reconciles to the previous provider's figures so HMRC sees no gap.

What about sick pay, maternity and paternity pay?

Statutory Sick Pay, Maternity, Paternity, Adoption and Shared Parental Pay are calculated and paid through the payroll when the qualifying conditions are met, and the recoverable portion of parental pay is reclaimed from HMRC through the Employer Payment Summary. All included.

How are starters and leavers handled?

For a starter we need the P45 or a starter checklist, bank details and contract terms; we set them up and report them to HMRC on the first pay run. For a leaver we process final pay, issue the P45 and report the leaving date. Both are included in the monthly fee.

Do I have to offer a workplace pension?

Yes, if you employ anyone aged 22 to State Pension age earning over £10,000 a year. They must be enrolled automatically with minimum contributions of 8% of qualifying earnings, at least 3% from you. Director-only companies with no employment contract are usually exempt. The £99 setup package handles the scheme, the declaration of compliance and the letters.

What salary should a director take?

For 2026/27 many directors take a salary at or just above the National Insurance thresholds so that the year counts towards the State Pension while minimising deductions, and take further income as dividends. The right figure depends on the company's profit and your other income, and our tax planning review covers it in detail.

How do I get started from Castlecary?

Message us on WhatsApp or email with a sentence about your business and what you need. We reply in working hours with any questions and a fixed fee for payroll. Once you confirm, we tell you exactly which records to send and the work begins. Most Castlecary clients are set up within a day.

Which deadlines matter most for payroll?

The next four dates that apply to payroll are shown at the top of this page, calculated from today. For Castlecary clients we diarise every one of them from the day you join and send reminders before each, so the work is done in good time rather than in the last week before a penalty.
