Why IGI

What you get in Canbury

No hourly rate and no surprise invoice. Canbury clients know the fee for r&d tax credits before they send a single document, and it stays fixed.

We work to the HMRC and Companies House calendar, not an appointment diary. Clients in Canbury get reminders at 60, 30 and 7 days before each date that applies to r&d tax credits.

Online only, UK based. There is no office in Canbury to pay for, which is why the fee is the same here as anywhere in England; the work is done by people in the UK who answer the same day.

Continuity matters in r&d tax credits: the person who prepared last year's work for your Canbury business prepares this year's, and remembers what was agreed.

We explain r&d tax credits in the words Canbury business owners use, not in accountant's shorthand, and we show our working so you can check it.

Nothing is filed for Canbury until you have reviewed and approved it. You see the draft, you ask questions, you sign off, then we submit and send you the receipt.

Worth knowing

Rules that come up in this work

Record keeping

HMRC requires records of all income and expenses, bank statements, invoices and receipts to be kept for at least five years after the 31 January filing deadline of the tax year they relate to, and companies must keep records for six years from the end of the accounting period. Digital copies are acceptable. Under Making Tax Digital the records must be kept in compatible software.

Allowable expenses

The expenses sole traders most often miss are home working costs, claimed by actual proportion or HMRC's flat rate, the business share of phone and internet, mileage at 45p for the first 10,000 business miles, and training that maintains existing skills. The ones most often claimed wrongly are commuting, entertaining customers and clothes that could be worn outside work.

Crypto records and reporting

HMRC treats cryptoassets as property. Swapping one token for another, spending crypto or gifting it are all disposals for Capital Gains Tax, and staking and lending rewards are income. Gains are computed under pooling rules with same-day and 30-day matching. From 2026 HMRC receives data from exchanges worldwide under the Cryptoasset Reporting Framework, so unreported activity is increasingly visible.

The 60-day property CGT return

Selling UK residential property that was not your main home for the whole period of ownership triggers a separate Capital Gains Tax return, due within 60 days of completion along with payment of the tax. This is in addition to the annual Self Assessment. The gain is taxed at 18% or 24% depending on your income band, after the £3,000 annual exempt amount.

The Self Assessment calendar

Four dates govern Self Assessment: 5 October to register, 31 October for paper returns, 31 January to file online and pay, and 31 July for the second payment on account. Missing the January date triggers an automatic £100 penalty before any tax is even considered, so we treat it as the fixed point around which the rest of the year is planned.

Dormant companies

Dormancy is a status that is easy to lose. The strict rule is no accounting transactions other than share capital and Companies House fees, which means no bank account activity at all in practice. Fees should be paid personally by the director. A company that traded and has stopped becomes dormant only after its final trading accounts and tax return are filed and HMRC is told.

Payments on account

A common surprise in Self Assessment is the January payment that is far larger than expected. That is the balancing payment for the year just ended plus the first payment on account for the year ahead, which HMRC sets at half of the bill just calculated. We put the figure in your hands months ahead and tell you how to adjust it legitimately when circumstances change.

Questions

R&D Tax Credits questions from Canbury

Why is the eligibility review free?

Because a large share of enquiries do not qualify, and we would rather tell you that for nothing than charge £999 for a claim HMRC rejects. The review takes a short call and some questions about the projects. You get a written view: qualifies, does not qualify, or borderline with the reasons. There is no obligation afterwards.

What counts as R&D for tax purposes?

A project seeking an advance in overall knowledge or capability in a field of science or technology, through the resolution of scientific or technological uncertainty that a competent professional in the field could not readily resolve. Commercial novelty is not enough; routine development with known methods is not enough. The test is about the technology, not the product.

How much is the relief worth under the merged scheme?

For accounting periods starting on or after 1 April 2024 the merged scheme gives a 20% expenditure credit, taxable, so worth around 15% to 16.2% of qualifying spend net of tax. Loss-making companies spending at least 30% of total expenditure on R&D can claim the enhanced intensive rate, worth up to 27%.

What costs qualify?

Staff costs including employer NI and pension for time spent on R&D, externally provided workers at 65%, subcontracted R&D at 65% with new rules on who claims, software licences, cloud computing and data costs, consumables transformed or used up in the R&D, and some clinical trial payments. Capital spend, rent and marketing do not qualify.

What is the advance notification requirement?

Companies that have not claimed in the previous three accounting periods must notify HMRC of their intention to claim within six months of the end of the period. Miss it and the claim for that period is lost entirely. We check your position at the eligibility stage and file the notification as part of the service.

What is the Additional Information Form?

Since August 2023 every R&D claim must be accompanied by a form submitted to HMRC before the CT600, giving project descriptions, cost breakdowns, the named senior officer responsible and any agent involved. Claims without it are removed from the return. We complete and submit it as part of the £999 fee.

Which deadlines matter most for r&d tax credits?

The next four dates that apply to r&d tax credits are shown at the top of this page, calculated from today. For Canbury clients we diarise every one of them from the day you join and send reminders before each, so the work is done in good time rather than in the last week before a penalty.
