Why IGI

The IGI way of working, in Caeliber

One fixed fee for payroll in Caeliber, agreed in writing before any work starts and never changed part-way through the job, however long it takes us.

We work to the HMRC and Companies House calendar, not an appointment diary. Clients in Caeliber get reminders at 60, 30 and 7 days before each date that applies to payroll.

We serve Caeliber remotely by design: records by WhatsApp or email, drafts back for approval, filing electronic. The saving on premises is passed to you in the fee for payroll.

Continuity matters in payroll: the person who prepared last year's work for your Caeliber business prepares this year's, and remembers what was agreed.

We explain payroll in the words Caeliber business owners use, not in accountant's shorthand, and we show our working so you can check it.

You stay in control of payroll: drafts go to Caeliber clients first, with the figures explained, and nothing leaves us until you say so.

About Caeliber

Caeliber is in Wales, Wales. Businesses in Wales file with the same HMRC and Companies House as England, and for now the Welsh rates of income tax equal the English ones, though the Senedd can vary them. The practical differences are Land Transaction Tax on property and Welsh-specific business support schemes, and company names and documents may be in Welsh.

Worth knowing

Rules that come up in this work

Workplace pensions and auto-enrolment

Every employer must assess its workers for automatic enrolment from the first employee's start date. Those aged 22 to State Pension age earning over £10,000 a year must be enrolled into a qualifying pension with minimum contributions of 8% of qualifying earnings, at least 3% from the employer, and a declaration of compliance made to the Pensions Regulator within five months.

Employer National Insurance

Employers pay National Insurance at 15% on each employee's earnings above the £5,000 secondary threshold, following the April 2025 changes. The Employment Allowance offsets up to £10,500 of this for eligible employers, which for a small team often removes the liability entirely, but companies where the director is the only employee do not qualify.

The trading and property allowances

Small side incomes are covered by two £1,000 allowances, one for trading and one for property, which remove the need to register or report income below that level. Once income exceeds £1,000, the allowance can be used in place of expenses, a choice worth making deliberately: a freelancer with £900 of costs is better off with the allowance, one with £3,000 is not.

Dormant companies

Companies formed to protect a name or hold a future business are dormant but not exempt: Companies House still expects dormant accounts within nine months of the year end and a confirmation statement annually with its £50 fee, and HMRC must be told the company is dormant or it will demand Corporation Tax returns. The filings are short, but the penalties for missing them are the same as for a trading company.

The 60-day property CGT return

Selling UK residential property that was not your main home for the whole period of ownership triggers a separate Capital Gains Tax return, due within 60 days of completion along with payment of the tax. This is in addition to the annual Self Assessment. The gain is taxed at 18% or 24% depending on your income band, after the £3,000 annual exempt amount.

Crypto records and reporting

HMRC treats cryptoassets as property. Swapping one token for another, spending crypto or gifting it are all disposals for Capital Gains Tax, and staking and lending rewards are income. Gains are computed under pooling rules with same-day and 30-day matching. From 2026 HMRC receives data from exchanges worldwide under the Cryptoasset Reporting Framework, so unreported activity is increasingly visible.

Allowable expenses

An expense is allowable against trading profit if it is incurred wholly and exclusively for the business. Materials, business travel other than ordinary commuting, a proportion of home running costs, software, insurance, professional fees, bank charges and protective clothing qualify. Client entertainment, ordinary clothing, fines and the private share of mixed-use costs do not.

Questions

Payroll questions from Caeliber

I am taking on my first employee. What do I need?

A PAYE employer registration with HMRC (our £49 service, or £99 with the first payroll run set up), a workplace pension scheme, employer's liability insurance, a written statement of employment terms and right-to-work checks. We handle the first two and tell you plainly what to do about the rest.

Can you take over mid-year from another provider or software?

Yes. We need the year-to-date figures for each employee, the last submissions to HMRC and the pension scheme details. The transfer is included in the fee and the first pay run under us reconciles to the previous provider's figures so HMRC sees no gap.

When is PAYE paid to HMRC?

By the 22nd of the following month if paying electronically, or the 19th by post. Employers whose average monthly liability is under £1,500 can pay quarterly. We send a payment note each month with the amount, HMRC's account details and your reference ending in the correct period number.

What is RTI and when do submissions have to go in?

Real Time Information is HMRC's system for reporting pay and deductions as they happen. A Full Payment Submission must reach HMRC on or before each pay day. Late or missing submissions earn monthly penalties from £100 for small employers. We file on the pay date every time you confirm the figures.

How is the fee set for a team?

By headcount: up to 5 employees is £45 a month and up to 10 is £69 a month, whatever the pay frequency. Weekly, fortnightly and monthly payrolls cost the same. Over 10 employees we quote a fixed fee per month based on numbers and complexity before starting.

What does the £25 director-only payroll include?

Monthly payroll for one director: the payslip, the RTI submission to HMRC, the calculation of any PAYE and National Insurance due, year-end P60 and final submission. It is designed for directors taking a salary around the National Insurance thresholds alongside dividends.

How do I get started from Caeliber?

Message us on WhatsApp or email with a sentence about your business and what you need. We reply in working hours with any questions and a fixed fee for payroll. Once you confirm, we tell you exactly which records to send and the work begins. Most Caeliber clients are set up within a day.

Which deadlines matter most for payroll?

The next four dates that apply to payroll are shown at the top of this page, calculated from today. For Caeliber clients we diarise every one of them from the day you join and send reminders before each, so the work is done in good time rather than in the last week before a penalty.
