Why IGI

The IGI way of working, in Balmartin

No hourly rate and no surprise invoice. Balmartin clients know the fee for vat returns before they send a single document, and it stays fixed.

We work to the HMRC and Companies House calendar, not an appointment diary. Clients in Balmartin get reminders at 60, 30 and 7 days before each date that applies to vat returns.

Online only, UK based. There is no office in Balmartin to pay for, which is why the fee is the same here as anywhere in Scotland; the work is done by people in the UK who answer the same day.

Continuity matters in vat returns: the person who prepared last year's work for your Balmartin business prepares this year's, and remembers what was agreed.

Plain English, with the numbers. Every draft for Balmartin comes with a short explanation of what the figures mean and what, if anything, you should do about them.

You stay in control of vat returns: drafts go to Balmartin clients first, with the figures explained, and nothing leaves us until you say so.

Worth knowing

Rules that come up in this work

The VAT registration threshold

Watching the rolling twelve-month turnover figure is one of the quiet jobs of monthly bookkeeping, because the £90,000 VAT threshold arrives silently. Crossing it brings quarterly returns, Making Tax Digital software and a decision about schemes. Crossing it late brings a bill for VAT you could not recover from customers and a penalty for failing to notify.

Corporation Tax rates and marginal relief

Since April 2023 there have been two Corporation Tax rates, 19% small profits and 25% main, with marginal relief smoothing the transition between £50,000 and £250,000 of profit. The band is where planning matters: each pound of profit in it is taxed at an effective 26.5%, so pension contributions and capital expenditure timed to keep profit below £50,000 are worth more than they look.

Salary versus dividends

Directors of their own companies usually take a salary at or just above the National Insurance thresholds, which keeps the year qualifying for State Pension and is deductible for Corporation Tax, with further income as dividends. Dividends above the £500 allowance are taxed at 10.75%, 35.75% and 39.35% by band and can only be paid from distributable profits after tax, with a minute and voucher each time.

Director's loan accounts

A director's loan account records money moving between a director and the company that is not salary or dividend. If the director owes the company money nine months and one day after the year end, the company pays section 455 tax at 35.75% of the balance, refundable only when the loan is repaid. Loans over £10,000 are also a benefit in kind unless interest is charged at HMRC's official rate.

The Self Assessment calendar

Four dates govern Self Assessment: 5 October to register, 31 October for paper returns, 31 January to file online and pay, and 31 July for the second payment on account. Missing the January date triggers an automatic £100 penalty before any tax is even considered, so we treat it as the fixed point around which the rest of the year is planned.

Payments on account

If your Self Assessment bill exceeds £1,000 and less than 80% of your tax was collected at source, HMRC asks for two advance payments towards the following year, each half of the current bill, due 31 January and 31 July. The first year this happens the January payment is effectively one and a half times the bill. We model it in advance and show you how to reduce the payments if income is falling.

Late filing penalties

HMRC's penalties for a late Self Assessment return are automatic: £100 the day after 31 January, £10 a day from three months late up to £900, then the greater of £300 or 5% of the tax at six and twelve months. Interest and separate late-payment penalties apply to the tax itself. Companies House charges £150 to £1,500 for late accounts, doubling for a second consecutive year.

Questions

VAT Returns questions from Balmartin

What happens if a return is late?

HMRC's points-based system gives one penalty point per late return; at four points (for quarterly filers) each further late return costs £200. Late payment penalties start at 3% of the tax after 15 days, with daily interest from day one. We file on time if we have your records; late-filer rescues are £99 per return.

Can I claim VAT on everything the business buys?

Only on purchases used for making taxable supplies, with a valid VAT invoice. Business entertainment, most cars and anything with private use are restricted or blocked. If you make some exempt supplies, partial exemption rules limit recovery. We check these before each return.

How does the domestic reverse charge affect construction businesses?

Since March 2021, VAT-registered subcontractors supplying construction services to VAT-registered contractors within CIS do not charge VAT; the contractor accounts for it. Invoices must say so. Getting this wrong in either direction is common and we check every construction client's invoices against the rule.

I sell online through marketplaces. Who accounts for the VAT?

For goods sold to UK consumers through an online marketplace by an overseas seller, the marketplace accounts for the VAT. UK-based sellers account for their own. Imports, low-value consignments and sales to EU customers each have specific rules, and our e-commerce specialists handle the detail.

What does the £35 a month fee cover?

Quarterly VAT returns prepared from your own bookkeeping records, reviewed by us for coding errors, submitted through MTD-compatible software and confirmed back to you with HMRC's receipt and the payment details. If we also do your bookkeeping, the combined bundle is £119 a month.

When do I have to register for VAT?

When your taxable turnover in any rolling 12 months exceeds £90,000, or you expect it to exceed £90,000 in the next 30 days alone. You must register within 30 days of the end of the month you crossed the threshold. Voluntary registration below the threshold is possible and sometimes beneficial; we advise either way.

Which deadlines matter most for vat returns?

The next four dates that apply to vat returns are shown at the top of this page, calculated from today. For Balmartin clients we diarise every one of them from the day you join and send reminders before each, so the work is done in good time rather than in the last week before a penalty.
