How it works

Payroll from Aintree, step by step

  1. Tell us your situation

A short message or call about what you do and what needs filing. We ask the questions that determine the right package and nothing more.

  2. Fixed fee in writing

You receive one price for the work, confirmed by email before anything starts. It does not change if the job takes longer than we expected.

  3. Send records, review the draft

Records come by WhatsApp or email. We prepare the draft, explain the figures in plain English and answer your questions.

  4. We file, you get the receipts

Once you approve and the fee is settled, we submit electronically and forward the HMRC or Companies House acknowledgement the same day.

Why IGI

The IGI way of working, in Aintree

No hourly rate and no surprise invoice. Aintree clients know the fee for payroll before they send a single document, and it stays fixed.

We work to the HMRC and Companies House calendar, not an appointment diary. Clients in Aintree get reminders at 60, 30 and 7 days before each date that applies to payroll.

Online only, UK based. There is no office in Aintree to pay for, which is why the fee is the same here as anywhere in England; the work is done by people in the UK who answer the same day.

Continuity matters in payroll: the person who prepared last year's work for your Aintree business prepares this year's, and remembers what was agreed.

Plain English, with the numbers. Every draft for Aintree comes with a short explanation of what the figures mean and what, if anything, you should do about them.

You stay in control of payroll: drafts go to Aintree clients first, with the figures explained, and nothing leaves us until you say so.

Worth knowing

Rules that come up in this work

Record keeping

HMRC requires records of all income and expenses, bank statements, invoices and receipts to be kept for at least five years after the 31 January filing deadline of the tax year they relate to, and companies must keep records for six years from the end of the accounting period. Digital copies are acceptable. Under Making Tax Digital the records must be kept in compatible software.

Allowable expenses

An expense is allowable against trading profit if it is incurred wholly and exclusively for the business. Materials, business travel other than ordinary commuting, a proportion of home running costs, software, insurance, professional fees, bank charges and protective clothing qualify. Client entertainment, ordinary clothing, fines and the private share of mixed-use costs do not.

Crypto records and reporting

Crypto tax splits into capital gains on disposals and income on rewards, with different rates and different reporting. The £3,000 annual exempt amount and the 18% and 24% rates apply to gains; staking, mining and airdrop income is taxed at marginal income tax rates. HMRC's nudge letters to holders have increased sharply, and a voluntary disclosure before one arrives is treated far more leniently.

The 60-day property CGT return

The 60-day Capital Gains Tax return on residential property is the deadline landlords most often miss, because it falls outside the Self Assessment cycle and runs from completion, not exchange. Private residence relief for periods you lived in the property, plus the final nine months, reduces the gain. Penalties for a late return mirror Self Assessment, starting at £100.

Switching accountants

The main reasons people switch accountant are surprise invoices, missed deadlines and not understanding what they are being told. Switching involves a clearance letter between the firms, a transfer of records and agent authorisations, and a short handover of the current position. It takes about two weeks and should cost nothing extra.

Closing a company

Voluntary strike-off is available only to solvent companies. One that owes money it cannot pay needs a creditors' voluntary liquidation through a licensed insolvency practitioner, and directors who dissolve an insolvent company face personal consequences. For a solvent company the process takes three to four months from filing the DS01, with notice to creditors and shareholders within seven days.

Confirmation statements and identity verification

The confirmation statement is the annual check that the public register is right: officers, registered office, SIC codes, shareholders and the PSC register. It carries a £50 fee and no financial penalty for lateness, but failure to file leads to compulsory strike-off. The identity verification regime introduced in November 2025 has added a further check to every statement.

Questions

Payroll questions from Aintree

Can you take over mid-year from another provider or software?

Yes. We need the year-to-date figures for each employee, the last submissions to HMRC and the pension scheme details. The transfer is included in the fee and the first pay run under us reconciles to the previous provider's figures so HMRC sees no gap.

I am taking on my first employee. What do I need?

A PAYE employer registration with HMRC (our £49 service, or £99 with the first payroll run set up), a workplace pension scheme, employer's liability insurance, a written statement of employment terms and right-to-work checks. We handle the first two and tell you plainly what to do about the rest.

What is the Employment Allowance?

Eligible employers can reduce their employer National Insurance bill by up to £10,500 a year (2026/27). Single-director companies with no other employees do not qualify. We claim it on your behalf where you are eligible, which for a small team often wipes out the employer NI entirely.

Do you provide payslips and P60s?

Yes. Electronic payslips go to each employee every pay period through a secure portal or by email as you prefer. P60s for everyone employed at 5 April are issued by 31 May. If you provide benefits such as a company car or private medical cover, P11Ds are prepared and filed by 6 July.

What salary should a director take?

For 2026/27 many directors take a salary at or just above the National Insurance thresholds so that the year counts towards the State Pension while minimising deductions, and take further income as dividends. The right figure depends on the company's profit and your other income, and our tax planning review covers it in detail.

Do I have to offer a workplace pension?

Yes, if you employ anyone aged 22 to State Pension age earning over £10,000 a year. They must be enrolled automatically with minimum contributions of 8% of qualifying earnings, at least 3% from you. Director-only companies with no employment contract are usually exempt. The £99 setup package handles the scheme, the declaration of compliance and the letters.

Which deadlines matter most for payroll?

The next four dates that apply to payroll are shown at the top of this page, calculated from today. For Aintree clients we diarise every one of them from the day you join and send reminders before each, so the work is done in good time rather than in the last week before a penalty.

How do I get started from Aintree?

Message us on WhatsApp or email with a sentence about your business and what you need. We reply in working hours with any questions and a fixed fee for payroll. Once you confirm, we tell you exactly which records to send and the work begins. Most Aintree clients are set up within a day.
